Use of functional mailbox email in Adobe Sign

In Adobe Sign Help Guide, it is recommended to use a functional email or distribution list as Doc Admin user or in creating templates. A functional email or distribution list does not have active directory username and password, therefore we cannot add them as Enterprise ID or Federated ID. Can someone share how they manage these accounts that are using deparment emails?
