Adobe Admin Console and Storage Accounts

Community Beginner ,
Feb 13, 2023 Feb 13, 2023

I am a system admin for Adobe in our company.  While the Adobe Admin Console helps to see how many users are license, and what apps they're licensed to, what is missing is the ability to view when the last time a user actually USED their license, and what devices their license is tied to.  Account.adobe.com is where each individual user is able to see this information, so why is that not tied to the Adobe ADMIN Console?  Because this doesn't happen (yet), I have to go to 6 different places to obtain this level of data.  Additionally, the Adobe Admin Console has introduced the Storage tab for our organization, and I can view what users are using this feature, but what I can't see is what data is being stored.  We need a way to determine if PHI/PII is being stored in the cloud, and without a way to view what files are being stored in a user's Storage account, I have no way to determine if these user's are violating our company policy or not.

@JByrnesBCBSSC Unfortunately, currently, the admin of the console could not check the exact files the users are uploading to the cloud however you can get information on how end users are working with your assets, such as folders, files, and libraries using the Content logs: https://helpx.adobe.com/in/enterprise/using/content-logs.html

As an admin ( for enterprise contract), you can set the asset sharing restrictions from the Adobe admin console: https://helpx.adobe.com/in/enterprise/using/sharing-restrictions.html

because this is not a cc desktop suggestion, i don't think this is the best place for your request.

see if there's something better:

for applicable apps, you can make (some) suggestions to adobe here, https://helpx.adobe.com/ie/x-productkb/global/how-to-user-voice.html

for others, use https://www.adobe.com/products/wishform.html

The wishform.html is how I ended up here, and Adobe Admin Console doesn't exist in that list.  Creative Cloud was the next best choice from the list of applications.  This is also not really a "How To" question either.  I can't ask how to do something that doesn't exist.  I was provided the wishform.html link from an Adobe Chat agent, which led me here. 😞

Same issue, one of my customers has NDA with their customers that would be breached by storing date on Adobe's cloud.

Not the same thing.

It's fair to say we all have NDAs.  It comes with the territory.

In all such cases, we keep files on secure internal storage systems that are highly encrypted and backed-up nightly to dedicated back-up and recovery service.

@kglad  the links you provided weren't helpful.  As I had previously explained, the wishform is what led me here, as directed by an Adobe Agent.  This is also not a "how to" situation.

I suspect that privacy and data protection laws may play a part in this.

Also of course app do not connect to Adobe when they choose to run an app. It's a licensing process which might be run daily, after a month, every 60 days or at other random intervals. I think the solution for enterprises in this situation is to look at app auditing as a general thing.

Don't know about US, but here we legally need a way to give up the data to law enforcement immediately when they arrive with the proper document. Adobe prevents that by not allowing the administrator to get the data easily. Local privacy laws disallow you from looking at personal data explicitly marked as such, meaning we would verify what is inside a "personal" directory.

Not being able to give up the date would be obstruction of police work and Adobe certainly won't pay for their customers while they retained the data illegally.

now these posts have been moved out of a wish/suggestion forum, so they won't result in any notice being given to "correct" people at adobe.

the original poster was making a suggestion to adobe about a feature that was lacking.  you appear to be doing the same thing, but maybe not.

do you want to suggest a feature to adobe?  or, are you asking for help with something?

If you are still concerned, I would suggest guiding the users to store the files locally on the machine or save them to your organization's cloud storage where you will get the option to check the cloud files of the users.

Unless we can enforce it in a technical way, we cannot prevent user error or malice, we need a way to administrate that properly. (Even completely disable the feature at tenant level)

Looking at logs like a vampire just to warn a user in case of error is toxic and will just frustrate the user, we prefer hiding the feature exist if they are not supposed to use it.

@Zulgrib In this case, I would recommend contacting your CSM and check for an alternate licensing option with 0 cloud storage.
