Hyperlink Options: Copying Document into Project Folder

Hello,

I am using RH7 for HTML.  I have a question about a dialog box that appears when I am creating a hyperlink to a document on our network drive.  The dialog box asks, "Copy (filename) into project folder (local folder name)?  The options are "Yes" or "No."  I am looking for the best answer to this question.

What are the advantages and disadvantages of each option?

Your best answer depends on what you want to do:

When you click Yes, Robohelp adds the file to your project as a baggage file, so you can distribute your output to any pc and still have the file available. The downside of this is that you have a local copy of the file, so every time the document changes, you'll have to update the file in your project. If you use a DMS, you can probably track when the files are changed and update the files in your project accordingly.

When you click No, Robohelp creates a hard link (as G:\directory\my_file.doc) in the topic. This is handy if the document is being edited daily. The downside is that every one that uses your project must have access to the document directory and they must have the same drive letter assigned for the network disk. If you're not sure about this, always import the file into your project.
