Knowledge Base in Acrobat is now HIPAA Ready

Knowledge base in Acrobat is now HIPAA ready. Eligible customers can use it for applicable workflows involving Protected Health Information (PHI) once the required Business Associate Agreement (BAA) and product enablement steps are complete. Here's what that means:

How this helps Pharma and Life Sciences organizations

Document-heavy teams in pharma and life sciences work with agreements, study documentation, and regulated records.  Here are two examples where HIPAA readiness applies:

  • Clinical trial document review: Extract protocol terms, consent provisions, and reporting obligations from clinical trial agreements and study documentation. Example attributes: consent version, protocol deviations, site ID.

  • PHI records compliance review: Extract structured data from records that contain PHI to support regulatory review. Example attributes: PHI redaction status, applicable regulation, review status.

These examples are illustrative, and there are many more ways to use Knowledge base once HIPAA readiness is enabled.

Getting started

HIPAA readiness isn't automatically enabled with product access. To request it, contact your Adobe Sales representative with your Account ID and a note that you intend to process PHI in Knowledge base. Then the following process will be kicked off:

  • Step 1: Determine whether an applicable BAA is in place, and execute one, if needed.

  • Step 2: Confirm the BAA has been executed and enable HIPAA readiness within Knowledge Base in Acrobat.

  • Step 3: Notify your organization that HIPAA readiness enablement is complete.

There are no HIPAA settings for your admins to configure. Please don't process PHI in Knowledge Base until Adobe confirms enablement. Learn more on how to enable HIPAA readiness.

For Knowledge Base, HIPAA readiness also requires PDF Spaces integration to be disabled. Once enabled, PDF Spaces access to Knowledge Base collections is blocked and cannot be re-enabled by the organization's administrator.

Confirming status

Once the BAA is complete and the Adobe account representatives have engaged with Product team to enable the HIPAA-readiness flag in the backend, product administrators can check the status within: Knowledge Base in Acrobat > Organization Settings > Manage PDF Spaces access toggle turned ON.

Once the HIPAA Readiness toggle is enabled by Adobe Account Representative; it will auto enable the PDF Spaces Integration disabled toggle in customers’ admin view.
