Unable to check out this file. It may be in use by someone else

Hi - we're using editors with limited access to the internet, and so are using an email-based workflow. I set up the files in InDesign, and export assigned spreads to an assignment which I then package to an icap file and mail to the editor. This works fine some of the time, but quite frequently the editor comes across a problem with not being able to check out some of the stories in InCopy, with the error message "Unable to check out this file. It may be in use by someone else". The only solution we've found is for me to re-create the assignemnts and re-package and re-send, but this means the editor loses all their work up to that point. Any ideas?

I have frequently read that email-based assignment files .icap/.idap are problematic and unreliable. I suggest you retrain the editor to access a shared Google Drive or DropBox folder. (Make sure to turn off Smart Sync and allow full editing permissions and have the cloud storage installed in that person's computer. They should not work from a browser for the cloud storage.)
