A few newbie questions about Forms and signing

New Here ,
Sep 06, 2024 Sep 06, 2024

Hi all,

I'm a newbie when it comes to Acrobat Pro and how to use the prepare a form and signings. So, hopefully some of you can lead me in the right direction or maybe answer my questions.

CASE:

I've designed an order sheet in Word which has several pages and a lot of fields. I need to convert this to a PDF that our sales personal can use as a template for new orders/contracts and in the end are signed by the customer.

WHAT I DID/TRIED:

I've, as mentioned, designed an order form in Word, went to Acrobat Pro and used the "Prepare a form" (without ticking the "Used for signature thing") and adjusted everything (removed wrong fields, renamed fields, added some calculation scripts etc). Exited the "Prepare a form" and saved the file.

I then sent it to a sales person for testing perpose. He filled out (in his Acrobat Pro) some of the fields and afterwards used the E-sign function to sent it for signing. When this is done Acrobat "coverts" the document to a "sign-document" where it's possible to mark which fields needs to be filled by the customer (some optional and others required). There are also a lot of empty fields left in the form (fx. there are 20 lines where products can be listed but only 5 of them are filled).

The document is correctly sent to the email address specified.

THE PROBLEMS:

1.

When the person who receives the form for signing he/she can also add in some text in all the fields that was left empty. I can see in the preperation fase I can set which field are assigned to which user (as default they are all "Anyone"). Can this default be changed or do I have to go over every single field everytime I will use this form (and change them). I would only like to have the customer to be able to add text to a few certain fields + the signature field.

2.

All my calculation scripts workes just fine but when the document is "converted" to af sign-document some of the scripts stop working and some fields have 'lost' the format (fx. the fields with number format no longer have ,xx - (fx. 1.298,50 becomes either 1298 or 1298,5)).

SOLUTION:

You or maybe some links to 'wlak-through-guides' for this type of document.

Sorry for the long and maby not so understandable description (but English is not my native language).

Thanks in advance.

Hi Henrik2939611360r5,

Thank you for reaching out, and sorry about the delay in response.

Please find below the answers to your problems:

1. You may create a template using the PDF form and assign the form fields at once. Then, you can use that template whenever you send the document for signature. You will not have to assign the form fields every time you use the form. Please refer to the steps suggested in the following help document: https://helpx.adobe.com/document-cloud/help/create-template.html

2. In this case, we suggest using the Acrobat Sign form when creating a form to send for signature using Acrobat Sign. Once you upload the document, either mark the box "This document requires signature" or click on three dots next to Prepare a form at the top in the left-hand pane and select "Prepare a form for e-signing". All scripts might not work once you upload the document to Acrobat Sign.

Let us know if you have any questions.

Thanks,

Meenakshi
