Tagging or organizing comments in commented PDF

Explorer ,
Oct 19, 2022 Oct 19, 2022

I didn't see an obvious way to tag or organize comments in a PDF. If it isn't a built in feature it might be useful, but what are some ways I might be able to achieve this? I don't want to completely delete or ignore comments, because they're relevant, just not right now. It could also be viewed as prioritizing changes, like a JIRA type way to categorize work that needs to be done.

Some methods and practices come to mind:

  • Standardize commenting among reviewers if possible.  Acrobat has built-in comment tools that users often overlook for a variety of reasons. Training can help here.
  • If possible, use specific colors for different types/urgencies of commentary.
  • Standardize comment entries themselves.  The first line of a comment could contain a short reason or identifier/keywords for the comment. The comments' Subject should reflect the reason - as opposed to the default comment type.
  • Add bookmarks for areas where comments are inserted, especially where the same reason is used for multiple comments that are dispersed throughout a document.  The bookmarks' names should reflect the comments' Subject, so that they can be easily grouped and subordinated.

Sure, it can be done, but will require developing a custom-made script for the task. I've developed similar tools in the past for my clients, so if you're interested in hiring someone to do it for you, feel free to contact me privately (by sending me a PM) to discuss it further.

While helpful, its a document with 200+ individual comments already inserted. Some are text changes, some are design changes, some are code changes. Ultimately its up to me to subortinate them, but just wasn't a clear way for me to do it and filter that list that I've organized.

I credited yours as correct also, since you did mention color coding. However, it is a tedious process because the PROPERTIES window for each comment will have to be opened separately. In the end, though it will give me an organized list of changes.

So, after doing a little more digging in Acrobat it seems that if I edit the properties of a comment I can change the color and then filter based on color. There is no easy way to just apply a color, so I have to just leave the properties window open, and save the color coding ill use for my triage change types. Screenshot

For future searchers this makes the task much eaasier so you don't have to open the properties window for each selection of comments.

The Properties toolbar is the greatest & least-known feature... and it's been there for years!

Don't I know it! I use it all the time for linking and form building, but for some reason I didn't even think to check if there was a Properties Toolbar for commenting.
