Why are archived documents still viewable from a previous share link and how do I delete documents?

  1. I want to unshare documents and delete them from the system permanently but I'm having issues doing so.
  2. When I try to delete them through my settings > signatures > privacy, there are no argreements listed on the page for me to delete, despite clearly having documents listed on document cloud.
  3. Both archived and hidden documents that I have previously shared are still accessible to anyone who clicks on the share link. 
  4. This is not compliant with privacy laws - GDPR.
  5. Please help with this issue.

Hi,

 

I got confused when I read about you mentioning that this is not compliant with GDPR requirements.

 

So first, is your organization using Adobe Experience Manager to control user profiles?

 

Second, what steps have you followes in trying to unshare the links?

 

Have you signed off and sign back in to see if this does any difference?

 

Have you logged in to the document cloud  with your user account and followed these steps?

And last, are users in your organization using the same subscription that you have to open Acrobat in the computer where you shared your screenshots from?

In my document cloud, I have agreements listed which are all archived. Despite being archived, any share links I had sent to others previously,  STILL gives them access to the archived agreements. 

 

I followed the steps recommended in the thread above and I found:

- no shared documents listed under "share by you"

- no shared documents listed "shared by others"

 

Because nothign is listed,  I cannot "unshare any links." However, I have archived agreeements. How do I ensure no one can access my archived agreements?  

 

PS.. To clarify, I am an individual, not an organization. What I meant was that Adobe is in violation of GDPR laws by not allowing individuals to delete sensitive private agreements.  Please reference bug no. CRM:01110000009108 with your technical team. (jira bug no DCES-4235195)

Hey chloestina,

 

I was reviewing this conversation and I forgot to indicate that you may need  need to go here: https://documentcloud.adobe.com/link/home  with your web browser.

 

You will see your shared documents under the "Documents" tab where you can unshare or delete the unwanted shared documents.

 

You will have to make sure that if some of the shared files are in a folder ( which may contain more documents) have to be opened first in order to delete the files contained there; then delete the folder. It won't delete a folder unless its contents are deleted first.

 

It is important to also  make a disticntion on which other devices have you allowed these files to synchronize with.

Using the Adobe Scan app in a mobile device is a prime example since it writes a scan folder to the document cloud automatically. Personally I haven't find any guidance on how this can be stop and store a file direclty in your mobile device as soon as it is scanned.. 

 

In summary, Check if when you try to delete these folders from this link  https://documentcloud.adobe.com/link/home/ that such PDFs don't re-appear the next time that you sign in with your AdobeID.

 

 You won't see them listed under "Your Documents" tab after you delete them from here. They will re-appear if you don't unshare them one-by-one, then delete them from the "Shared by You" and "Shared by Others" tabs.

 

Shared by other is tricky because they won't disappear from here unless you notified that contact and ask them to do the same.

 

And also, check that if you're synchronizing to other cloud storage services, like Dropbox, Google Drive, Sharepoint, etc. that you don't have automatic synchronization services also enabled with the Document Cloud.

 

I am making this distinction because the steps you're following from the Adobe Acrobat Pro DC applications should be pointing to Document Cloud with the AdobeID associated with your current subscription and not anywhere else.

 

In addition, if you go here .https://creativecloud.adobe.com/   notice that this is controlled by the Adobe CC Desktop app to updte, download and maintain Adobe apps.

 

If you have other Adobe products that depend on this CC Desktop App being enabled and running in the background all the time, check with the CC Desktop App what messages do you get in regards of the Acrobat app and apply fixes or recommended updates accordingly. 

 

Last,  in response to your last inquiry "I have archived agreeements. How do I ensure no one can access my archived agreements?  "

 

Use the Protect Tool in Acrobat.  See slide below:

Thank you for that link but I have already gone that route from https://documentcloud.adobe.com/link/home/. I have no documents but I do have two archived agreements. Despite being archived and hidden, the agreements are still accessible to anyone I previously shared it with.  How can those links to those agreements deny access to those archived agreements? Better yet, how can I remove the agreements from the cloud altogether so no one can view it anymore?

I just read recently something about unhiding these documents first in order to be able to unshare and delete.

 

Have been able to resolve this dilemma?
