The recipient’s roles that are available when sending the document via Adobe Sign

It is not necessary that you always need to send the document for signature, there are various other roles for the recipients. In Adobe Sign, there are various other recipient roles provided when sending the document/ agreement to the recipients.

The various recipient’s roles can be enabled depending upon the service plans you have for Adobe Sign.

Find below the complete description of the recipient’s roles that are available in Adobe Sign:

Signer: This is available for all service plans and is set as a default recipient role. Each signer on a transaction needs to have at least one required signature field assigned to them. If the system does not find a signature field for the signer, it automatically generates a signature block at the end of the document.

Approver: The option is available only with small business, business, and an enterprise plan. The approver does not need to add any signature on the document. They can just review the document and then add their name before sending the transaction to the signers. If there are any fields assigned and marked required for the approvers, they will need to fill them.

Acceptor: This role is only available with the enterprise plan. In this, the recipient does not need to add any signature. They will simply review the agreement and need to accept that. If the form fields are added in the agreement, they will be available for the acceptor. The Acceptor role is appropriate when the Recipient needs to acknowledge and acceptance of the Agreement without formally approving the content.

Certified Recipient: This option is only available with an enterprise plan. In this, the recipient can have no form fields assigned to them. During their "signature" process, they will be asked to either delegate, decline, or acknowledge the agreement.

  • Delegating will transfer the Certified Recipient role to the nominated delegate.
  • Declining will terminate the Agreement.
  • Acknowledging the Agreement continues the signature cycle.

Form Filler: The options available with Small business, business, and an enterprise plan. The option is used when you just need the recipient to fill in the data and no signature required. Form Fillers can be designated within a signature cycle but are not required to apply a signature of any kind. All field types can be assigned to a Form Filler, including signature fields if desired.

Delegator: The option is only available with an enterprise plan. This option is used when you do not know the correct person who should sign the agreement. So, you can add a recipient who will delegate the document to the next person.

This role does not replace the ad hoc option for a signer/approver to delegate their participation. Rather this role is used when a human checkpoint/routing option is needed in a workflow that has to initiate Agreements without knowing the full recipient list beforehand.

Once the delegator role is selected, you will notice that a second icon/menu is available. This second-level menu allows you to choose what role the delegated party should be.  The signer is the default. You cannot delegate to a delegator role.
