Good morning,
Im and IT Admin for HB Global LLC which has a number of divisions that they have recently purchased under them and are bring into the fold of the HB Umbrella. These are Mechanical Contracting, HVAC, Plumbing, Contruction companies that have numerous jobs in different location of the country at any given time. I support the division Nash PM in Wildwood, FL but also the other divisions as well when I can.
So on to my issue. We utilize 3 or 4 O365 Licenses depending on what the staff member will be doing and whether or not they have company equipment. In the case of a member not needing company equipment but still needs access to email we assisgn an F3 License, which only allows the user to access O365 contect through a web browser and in this case a web browser on their personal mobile device. We provision the O365 account, assign the F3 license and then add a group to their email account called SMSAuth. Once that is added we go to Azure AD pull up the new member and under Authenitcation select Phone and put in their personal mobile number starting with +1 then the XXXXXXXXXX and save. This is what we have chose to provide some security to their email.
All of that is done on our side and works well it is the next part that I am looking to create an app for if possible.
The newly created employee's boss and subsequently him/herself are sent an email with a PDF walkthough attached on how to access their email from their personal device using a web browser (chrome/Safari/FireFox) pulling up https://outlook.office365.com and once the sign in page comes up under the email address section they put in +1 and their personal mobile number hit next and then a code will be texted to that device of which they enter on the next page and then hit sign in which then get them into their O365 email account. We advise to bookmark so that they can access easily. The first part of the employee process is what I am looking to somehow automate through an app that does the url, and formatted mobile number entry for them and possibly have a drop down for the other two things they need to access periodically which is Paylocity and HB-U (HB University) both have similar access processes. Would anyonje be able to point me in at least the right direction with suggestions or ideas as to how I can accomplish this.
I have attached a pdf of the current instructions we send out but combined with the sheer numbers of field reps we sometimes hire for a job copied with the fact that most are not even a little tech savy is what is driving my want to assist not only my division but HB Global as a whole in reducing the hugley access amnount of tickets we get for this.
