Event Hosts - Registration

Hello all!

 

I am setting up an Event in a Meeting room that will have a specific participant cap (let's say 50), but there will also be several hosts/organizers who will either be listening in or helping facilitate the presentation (let's say 10). My questions are as follows:

 

  • I understand that Hosts and Presenters count toward the overall room total, so if we are expecting 50 audience participants and 10 hosts, should I set the event Registration Limit as 60? 
  • This is an open-registration event, so rather than entering individuals into the Participant Management area and sending the invites via Adobe Connect, we will simply generate the registration link and publish it outside of Adobe Connect. 
    • Will the Hosts/Organizers need to register for this course if they are not added to the Participant Management list? Or would they need to register regardless?
    • If I do add the 10 hosts to the Participant Management list as hosts, should I then lower the registration limit to 50, or keep it at 60? I guess I'm wondering what the "Registration Limit" field is tied to and what registrants count toward this total. 

 

Any guidance would be greatly appreciated. Thanks in advance!

    Correct, the registration limit has no impact on the room licensing limit. You can't set the registration limit above the room limit (which I think is silly but that's another conversation), but you can limit how many people will be able to join through the event. The direct link to the room will still allow up to the licensing limitation of the room, without interference from the Event registration limit. 

     

    Is it better to have the hosts register or not? Well, that's your call. Take whatever path feels like the path of least resistance. I feel it's not easier, as I wouldn't want my hosts to be blocked from registering because someone shared a link with someone else.

    In an Event in Connect, the registration limit is the number of people that you will allow to register to attend the event. So, if you limit it to 50, then 50 people can register. Their role in the session is not relevant to that number. 

     

    However, you could give the Hosts/Organizers the direct link to the room, rather thant he Event link and they wouldn't need to register or count against the registration number. You can pre-define their Host/Presenter rights or just promote them up once they join.

    Thanks so much for responding - your explanation was very helpful and informative! Just to confirm, the Registration Limit does not impact the total room capacity, since ostensibly any number of people could access the room through the direct Meeting Room link, is that right?

     

    One quick follow-up question I have is whether would be any benefit to asking the hosts to register for the event (and thus including them in the Registration Limit number), rather than excluding them from this count and allowing them to join via the room link. Is there much (or any) difference between these approaches? Thank you again.
