Question

Updating Shared content files does not populate in meeting rooms

I have several meeting rooms that reference files in shared content.  Some are PPTs, some are files available for download in the files pod.  I periodically update these shared files in the shared content location with new versions, and the system states that the older versions will be replaced, however, in the meeting rooms the older versions are still visible and downloadable.  How do I get the meeting rooms to use the newer versions without going into each meeting, deleting the shared PPT's and files for download, then adding them again from the shared content.

The files and PPTs in the shared content are replaced by uploading the new versions to the original file names and url locations so they should populate the meetings with new versions correct?

Any help would be greatly appreciated! Thanks,

helen

Hey Helen,

We can do this by going to the shared content, open that specified content (for ex., pptx file), go to the upload section and re-upload the updated file (with same name).

Now, go to the meeting room, click on Share Document, go to the shared Storage and re-upload the file into the meeting room.

Meeting room will show the history as well of your previously shared file as well, in the Share History Tab.  But you will have the updated content as well.

Thanks,

Annkiit

Thanks for the reply.  This is exactly what I have done, but the meeting is setup with a PPT that is open, and a file download pod.  When the meeting is opened after the new files have been uploaded with the method you have described, the meeting still shows the old PPT on the screen and the file download pod still downloads the older version of the files.

The problem I have is that I have multiple meetings with multiple files and changing to the new files for each meeting room is very tedious and time consuming.  Is there any way to automatically point to the new content without having to re-configure every file in every meeting room?
