Question

Can I suppress checking Xrefs when opening files ?

I have created books that contain many chapters and I use lots of cross-references. When I open one file, FM opens all the referenced files to update the Xrefs, then closes the files again. It takes much too long and is useless for me - I update the entire book at the end of all my editing, anyway.

Is there an option to suppress the checking of Xrefs to other files, i.e. just open the one file and not temporarily open all the others in the process ?

If it is not the Xrefs that are being checked, why in the world does FM open and close all those other files ?

Thanks for any info or hints to make my life easier and more productive !

    Hi, Jang:

As Russ noted, the information is in the FM Help, but isn't well documented. You might to enter a formal documentation bug report here:

    Hi Jang,

Good news. For what it's worth, I did a search in the help for "update cross-reference" and the ninth hit is a topic called "Suppressing automatic updating of cross-references." Perhaps, though, a cross-reference to that topic would be in order :)

    Hi Russ,

This is exactly what I was looking for. Thanks a bundle. I tried copying the document properties, but as you guessed it is not stored there, so I will have to change the settings for each file individually. But it does speed up the opening of files with many external Xrefs by a factor 10 or so.

I wonder why there is no reference to this command in the Help page that explains how FrameMaker checks cross-references etc. when opening files. Why would Adobe not want authors to know about this feature ?

Anyway, I am very happy with this piece of very useful and kind-of secret knowledge.

Thanks (not tanks) from Amsterdam ;-)

    Jang,

I think you are looking for the document-level property that controls this. With the desired document active, select Edit > Update References. In the following dialog box, click the popup button next to Commands, which allows you to produce a second dialog box where you can suppress automatic updates when a file is opened. Note that this is a document-level setting that must be set individually for each document. I think it might get passed along during a book update with the "Document Properties" option, but I'm not sure. One thing that might help is to at least set it in your master template, if there is one, then all files spawned from it will be preset.

    Jang,

My documents do not show that behavior when opening, but I looked around and discovered that it appears to be governed by a setting in Workgroup Preferences. Select File > Preferences > Workgroup. In the dialog box, set the first two options under When managing links to Never. Not sure, but you may also have to select Enable Workgroup functionality at the top of the dialog box.

I will not guarantee that this will solve the problem, because I have never set anything in this dialog; it has always been that way. So, maybe it will work, maybe not.

    Good luck,
    Van
