How can I improve document formatting and template management in Adobe FrameMaker for large technical documents?

I’m working with large technical documents in Adobe FrameMaker and would like to improve document formatting consistency and template management across multiple files and chapters.

I’m looking for best practices on:

  • Creating and maintaining reusable templates
  • Managing paragraph, character, and table styles efficiently
  • Keeping formatting consistent across large book files
  • Updating templates without affecting existing content
  • Handling cross-references, TOC, indexes, and numbering properly
  • Improving workflow for long technical documentation projects

Are there any recommended strategies, tools, or workflow tips that can help streamline template management and document formatting in large-scale FrameMaker projects?

    I would strongly recommend acquiring a copy of Doug Martin’s “Big Docs Made Easy”. A 700+ page tome and possibly the best book on document management strategies for (unstructured) FrameMaker. Doug was a little difficult to get hold of, as the stated address bounced (in 2021 at least) but I reached out for him on LinkedIn.

    The way I manage this is to create a separate “template.fm” file for the project. The redacted TOC for one is attached as a PDF here.

    This contains all the formatting for all of the project, and Import Formats can be done at any time to any of the project files (so requires a largish MasterPageMaps, and the project used my TPILB hack).

    Template.fm also contains both visible examples of each formatting item, and discussion about the whys & the dependencies. It also contains all the system context & workflow steps.

    In one instance, this resulted in this formatting master file being ⅔ the page count of the actual project. It dramatically eased the process of further editions.

    And internally, the template.fm file is extensively cross-referenced and uses variables where optimal. The defining instances of pretty much every aspect of the project exist as plain text only once, and are Xref’d or Variable instances everywhere else. So it’s pretty easy to repurpose it for a different project.

    I ended up using Color Views to turn print.vs.web edition page elements on and off, rather than Conditional Text, as well as control display of extensive authoring metadata not visible in any released edition.

    I am almost 100% sure that a human being did not write this post. I’m not sure what the motivation would be for AI to ask questions here, hopefully it is not just to generate traffic like it is used for on social media.

    Hi Dave. I could be wrong. But it reads like an AI summary of an Adobe marketing page. I’m pretty sure, because it looks just like AI posts all over social media these days, pretending to be human and doing a good job at it. I could be wrong, in which case I would owe an apology.

    I take it that you’re using Unstructured FM, correct? Most of your points are taken care of by having your styles all defined in your templates and then always using the template to create a new document. Updates to templates won’t affect already existing content unless you import the format changes from the template again. I’m not sure what you mean about handling xrefs, TOCs, IXs and numbering properly - your templates should already spell that out. Without knowing anything about your workflow, it’s tough to suggest anything specific.

    Are you using structured or unstructured FrameMaker? FrameMaker has ExtendScript built into it, which is Adobe’s version of JavaScript. ExtendScript can be used to automate tasks like the ones you are asking about. Take a look at my website for some off-the-shelf scripts (www.frameexpert.com) for working with templates, etc. Some workflows can benefit from custom scripting.
