Question

How do I open the catalogue box?

I cannot find the catalogue box. So far, I've been applying formats to the text from the Paragraph Designer box by selecting the text and then selecting a different paragraph tag and hitting APPLY. For example, I need to change bullet lists to numbered lists, so I'm doing it this way. I had just 2 days of formal training for FM, and I remember that you are supposed to apply formats from the catalogue box, yes?

Also, what is the difference between APPLY and UPDATE all? In my example of changing bullet lists to numbers, am I doing the right thing by just clicking APPLY?

Thank you SO much to those who reply.

I cannot find the catalogue box.

    Format> Paragraphs> Catalog or Format> Characters> Catalog

Once you open the Paragraph and Character catalogs, it will be easier to

just click on the appropriate paragraph or character format name. Use

the catalogs to apply (assign) a format to a block of text.

In the Paragraph Designer, Character Designer, or Table Designer, you

create or change a format. If you make no changes to an existing format,

clicking "Apply" will simply assign the format to a block of text, just

as clicking its name in the appropriate catalog would do.

However, if you make a change to the format in the designer, say by

changing the font, then clicking "Update All" will change every block of

text that has been assigned that format to use the new format style.

Alternately, clicking "Apply" will change ONLY the current block of

text. It will create an "override" to the format. (In the lower left

corner, you will see the format listed with an asterisk beside it to

signify that it is an override.) So you could end up with a single

Heading1 paragraph that uses the Times New Roman font, while all the

other Heading1 paragraphs use Arial. This is bad! Overrides are frowned

upon. You want all Heading1 paragraphs to be styled the same. If you

need a different format, it is generally best to create a new format to

assign to it, rather than override an existing one.

Thank you, Mike! This was very helpful. I got the catalogue box open now. I'll apply the formats from it rather than from the P. designer so I can avoid accidentally making a change to the formats.

I appreciate the clarification. Thanks for taking the time to help out!
