Question

ToC shows subheadings for some chapters but not all

Hi all. A couple more Table-of-Contents (ToC) questions:

1) Why don't any of my FM book Annexes (like Annex A, Annex B, etc.) have subheadings like my regular Chapters (like Chapter 14 has subheadings 14.1, 14.2, etc.)? (see attached image)

2) Why does the PDF output file show the Annex heading in separate rows? (again, see attached image)

Thx in advance for any help.

Cheers -- John

    Hi,

As shown in your image, the IEEE standard Annex title has 3 components:

    Annex A

    (informative)

    Bibliography

IEEE style is for each of these to appear on a separate line in the document. The way we do it in IEEE Std 1800, and I think it is this way in the IEEE SA template as well, is that all 3 lines are a single paragraph format, typically called AI or AN, with forced line breaks between the 3 components.

The PDF bookmarks are generated without the line breaks, so you get a single bookmark called "Annex A (informative) Bibliography".

    What's the problem?

When you generate the TOC, the line breaks do show up, so you have to manually remove them. I don't regenerate the TOC often, and I only bother to remove the line breaks when creating an official draft version for the Working Group, so it is not much of a problem.

I can send you an example offline.

    Hope this helps.

    Regards,

    Shalom

Hi Shalom. You've been very helpful. It makes more sense now. I'll play with your suggestions tonight and let you know.

My problem was (still is) that the Format > Document > PDF Setup window makes no sense to me (see attached). Why are there number before each entry in the "Include Paragraphs" column? Are they some sort of indexing? Further (again, referring to the attached), it  looks like all of the Annex subheading (AH1, AH2 in the paragraph format) are already present in the "Include Paragraphs" column. So why don't they appear as subheadings in the ToC?

At any rate, let me incorporate what you've provided first before I ask other questions.

The numbers are level indicators. When there aren't any numbers, the level can be indicated visually. When there are numbers, the level is higher.

You can change the level with the small buttons below the list << and >>.

Did you apply this PDF setting to all the book files?

Regarding the second issue, I had a similar phenomenon with an Accellera document. In my case, I understood the PDF bookmarks, because the Annex number and the Annex title were different paragraphs, but I did not understand how they showed up together on the same line in the TOC. I never figured it out.

    Hi, John.

    The first one is easy.

The chapter subheadings have a format like "H2" whereas the Annex subheadings have a different paragraph format, such as "AH2".

This is because the first component (before the dot) in the chapter headings is numeric, whereas the Annex headings start with an alphabetic component.

The TOC is almost certainly configured to show the H2 headings but not the AH2 headings.

    Regards,

    Shalom

Hi Shalom. I appreciate your help but you answer only addresses they why. Can you tell me how to fix it? 🙂

    Hi John,

This is explained in the online help:

    https://help.adobe.com/en_US/framemaker/using/using-framemaker/user-guide/topic_update-and-edit-tocs-and-lists.html#topic_update-and-edit-tocs-and-lists__section_add-remove-pgf-tags-fom-a-toc

In the Edit menu click Set up table of contents.

In the dialog move the heading paragraph formats of the Annex from the Don't include list to the Include list.

When your paragraph formats are not listed, then copy the paragraph format into the first file of your book and update the book. The paragraph format does not need to be assigned to any paragraph format.

    Best regards
