Question

Embedding fonts on a PDF HELP!

Hi,

I have a PDF file for a book manuscript, but when uploading to the printers, I have an error of one font not being embedded in the file.

I cannot for the life of me fix it... I have Acrobat (I'm on an iMac) but all my googleing tells me to use the 'print to PDF' option which isn't there?! Do I have to pay to be able to use that?

If so, is there any other way??

Thanks

You don't necessarily need to use Print to PDF. If you have Acrobat Pro, you can check and fix font issues using All tools > Use print production > Preflight.

First, open File > Document Properties > Fonts and check the problem font. This will show whether the font is embedded, embedded subset, or not embedded. Adobe's Preflight tool can also specifically identify fonts that aren't embedded. (helpx.adobe.com)

In Acrobat Pro, Preflight also has fixups that can correct some font-related problems. If the font has embedding restrictions, though, Acrobat may not be able to embed it. In that case, the safer solution is to go back to the original manuscript file and export/create the PDF again with font embedding enabled. (helpx.adobe.com)

Also, if you're using the regular Acrobat Reader rather than Acrobat Pro, that would explain why you can't find some of these print production/preflight options.

If you can post the name of the font that the printer says is missing, we may be able to figure out why that particular font isn't embedding.

Hello @Majestic_buildf2ae

I hope you are doing well, and thanks for reaching out. Sorry for the trouble.

Could you please share more details about the issue?

Are you on a Mac or Windows, and what is the version?

Are you using Acrobat, or the freeware Acrobat Reader desktop app, and what is the version installed? To check, go to Menu/Acrobat > Help > About Adobe Acrobat.

Can you please share a screenshot of the Window you get where the Preflight tool is not active?

Is it happening while working on any PDF, or when you launch the app?

Please ensure you have the latest version of Acrobat installed on the machine: 26.002.21931, Out of cycle update, Sep 17, 2026. Check for any pending updates by navigating to Menu > Help> Check for Updates. Install the updates, restart the app and the machine, and try again.

Repair the app’s installation files from Menu/Acrobat > Help> Repair installation. Restart the computer, and try again.

Please let us know how it goes, and reach out if you need any assistance.

Regards,

Anand Sri.

Hi @L011ip0p,

I understand how frustrating this can be, especially when everything looks perfect until the printer flags a missing font. Let’s clarify what’s happening and how you can fix it.

The message you’re seeing means one or more fonts used in your file weren’t embedded into the PDF when it was originally created. This can happen depending on how the file was exported or which app created it.

If you’re using Acrobat on macOS, the “Print to PDF” option you might see in Windows isn’t the same on a Mac — it doesn’t re-embed fonts, and macOS limits that workflow for security reasons. But you can fix the issue with one of these options:

1. Check the font embedding status:

  • Open the PDF in Acrobat.

  • Go to File > Properties > Fonts tab.

  • Any font that says “Embedded” or “Embedded Subset” is fine; the missing one will show as embedded.

2. To fix it:

  • If you have access to the source file (for example, in Word, InDesign, or Illustrator), re-export it as a PDF using the “High Quality Print” or “Press Quality” preset — these ensure all fonts are embedded.

    • Go to Tools → Print Production → Preflight

    • Search for “Embed missing fonts”

    • Run that fixup profile and save the new file.

If you only have the PDF, you can use Acrobat Pro’s Preflight tool:

3. No need to pay extra for “Print to PDF.”

What you actually need is Acrobat Pro’s Preflight feature (included with your Acrobat Pro subscription). That’s the proper and printer-safe way to embed missing fonts.

If the font isn’t installed on your system at all, you’ll need to install it first; Acrobat can’t embed what it can’t access.

Here’s Adobe’s guide for reference: 🔗 Embed fonts in PDFs using Acrobat
