Has anyone experienced issues with official PDFs like NBI Clearance after saving in Adobe Acrobat?

I sometimes work with official PDF documents such as NBI Clearance files, and occasionally I notice problems after saving or making small changes in Adobe Acrobat. In some cases, formatting looks different, certain sections appear restricted, or the file does not display properly after sharing.

I was wondering if others have experienced similar issues while handling NBI Clearance or other official PDFs. Have you found any settings or workflow that helps avoid problems with document formatting, QR codes, or file validation?

I would appreciate hearing what has worked best for others when managing official PDF files.

    Hope you are doing well and thank you for raising this.

     

    What you're experiencing is almost certainly related to document certification and digital signatures. Official PDFs like NBI Clearance files are typically digitally signed or certified by the issuing authority to ensure authenticity and prevent tampering. When Adobe Acrobat saves changes, even minor ones to a certified PDF, it can:

    • Invalidate the existing digital signature, which may cause restricted sections to appear locked or broken
    • Alter the visual rendering of certified form fields or stamps
    • Break embedded QR code validation links tied to the original file hash
     

    It is recommended to:

    1. Use "Save a Copy" instead of "Save":  Go to File > Save a Copy to preserve the original file untouched while keeping a separate working version.

    2. Avoid editing certified documents: If the PDF shows a blue ribbon or certification badge at the top of Acrobat, any modification will break certification. For NBI Clearance files, the safest practice is to treat them as read-only.

    3. Use Print to PDF for sharing: If you need to share the document and display isn't rendering correctly for the recipient, printing to a new PDF (File > Print > Adobe PDF) flattens the content into a clean, non-certified copy.
    Note: this removes the digital signature, so only do this for sharing display copies, never for official submission.

    4. Check Signature Panel: In Acrobat, go to View > Show/Hide > Navigation Panes > Signatures. This will show you what signatures exist and whether they've been invalidated by your edits.

    5. Enable "Do not allow any changes to the document" when saving:  If you must save, Acrobat's preferences under Edit > Preferences > Documents has options to protect document integrity.


    If the document is being used for official purposes, always keep and submit the original unmodified file downloaded directly from the NBI e-Clearance portal.
