How do I build a fillable quote template in Adobe Acrobat that keeps my branding?

Hi everyone,

I run a small pest control business based in Bankstown,  Bankstown Pest Control Pro  and I send a lot of quotes and invoices to homeowners every week. Right now I'm using basic Microsoft Word exports, and honestly they look a bit dated. I'd like to move to proper fillable PDF templates so customers can review their quote and even fill in their details before sending it back signed.

I've got Acrobat Pro (the subscription version), but I'm not a designer and I'm getting lost in the options.

A few specific questions:

  1. What's the cleanest way to convert a Word or Canva-designed quote into a fillable PDF without the fields shifting around?
  2. Can I keep my logo and brand colours, or does the "Prepare Form" tool force me into a plain layout?
  3. Is there a way to have the customer e-sign the quote and have a copy come back to me automatically?
  4. Should I be using the new "document generation" features or is classic workflow still better for this?

For context, this is the style of service I'm trying to match — local, professional, and easy for a homeowner to deal with. I'm hoping the PDFs can carry that same feel instead of looking like a spreadsheet.

I've searched the forum and found a few older threads on LiveCycle, but I'm on the current version so I want advice on what works today. Thanks in advance for any guidance.

    1. Converting Word or Canva quotes into a fillable PDF without fields moving around
      The most reliable workflow is:

    • Design and finalize the quote layout in Word or Canva.

    • Export it as a PDF or use the Acrobat ribbon. 

    • Open the PDF in Acrobat Pro.

    • Select All Tools > Prepare a Form.

    • Let Acrobat automatically detect fields, then review and adjust them as needed.

    Acrobat is designed to analyze existing documents and convert static fields into fillable form fields automatically. It works well with Word documents and properly exported Canva PDFs.
