How to edit responses made on a fillable form

I have a fillable pdf form I e-mail to clients. Depending on several variables I need to fill out some of the blank spaces they intentionally leave blank after they save and send the form back to me.

Once sent back to me I am unable to then add data to those blank spaces and am unable to change data in some spaces they completed.

    Did the form have a signature field? Although the default is to do nothing, the field can be set to lock others when signed.

    If the form is still truly fillable, you should normally be able to add or change the field values after the client sends it back. If you can't, check whether the returned PDF still shows the fillable fields when you open it in Acrobat.

    Also check File > Properties > Security. If it says “Changes Not Allowed” or has other editing restrictions, the client may have returned a protected PDF.

    If there are no security restrictions but the fields still can't be edited, the form may have been flattened when the client saved/printed it. In that case, the original editable form would need to be used again, or the sender would need to save it without flattening the fields.

    When I replied it gave me a different name → 

    realistic_videography041c instead of cavediver.

    Hi there, 

    Hope you are doing well. It gave you a different name  realistic_videography041c instead of cavediver because at that time you were signed in to the Adobe community with a different email ID.

    Hah---I had no idea that I had 2 different Adobe e-mail IDs. I see now that I do.

    Thank you for the quick reply. 

    Bullet #1--I do not know. 

    #2 - Plain text -- does not look fillable
    #3 Form was created by someone else long before I started using it. I have not before heard of
    “Extend Forms” as something to do. 
    #4 no error messages 

    Maybe I need more specific instructions on the form for clients to follow? What do I say to them. Below is what I tell them now. 

    Step 1. Download and Fill Form.
    Step 2. Go to FILE>SAVE AS
    Step 3. Check to make sure info saved.
    Step 4. Attach document to email
    Step 5 Email to me

    Hi there 

    Thanks for confirming these details, that's exactly what we needed. Since the fields turn into plain, non-fillable text after your clients save and send the form back, this points to the form not having "Extended Reader features" enabled, which is very likely since it was created by someone else and you hadn't heard of that setting before.

    Here's what's happening: if a fillable PDF form doesn't have Reader Extended Rights turned on, Adobe Reader can sometimes still let a user type into the fields and save, but depending on how they save it, the result can end up flattened, meaning the field data becomes static text and the fields themselves stop being editable, even for you afterward.

    To fix this going forward:

    1. Open the original form in Acrobat (not Reader) using Prepare Form or All Tools > Edit Form.
    2. Go to File > Save As Other > Reader Extended PDF > Enable More Tools (includes Form Fill-in & Save).
    3. Save this as your new master copy, and send this version to clients going forward instead of the original.

    With Extended Reader features turned on, your clients (and you) should be able to properly fill, save, and re-edit the same fields without the form flattening.

    You could also update your client instructions slightly, letting them know they should use File > Save (not just "Save As" to a different format) once you've re-enabled this setting, since that helps preserve the live form fields correctly.

    Give this a try on a copy of the form and let us know if the fields stay editable after that.

    Thanks for reaching out. This sounds like it could be related to how the form is being saved and returned to you, so let's dig into a few details.

    Could you confirm the following?

    • Which application did your client use to fill out and save the form (Adobe Reader, Adobe Acrobat, or a browser)?

    • When you open the returned form, do the fields still appear as fillable form fields (with the usual blue/gray highlight), or does the form look flattened, like plain text with no field borders?

    • Did you originally create this form in Acrobat, and did you enable "Extend Forms" / Reader extended features so clients filling it in Adobe Reader could save their data back into an editable form?

    • Do you see any specific error message when trying to add or change data, or do the fields simply not respond to clicks?

    If the fields have become flattened (no longer editable, just static text/images), that usually happens when the form is saved as a flattened copy rather than preserving live form fields, which could point to how it was saved on your client's end, or whether "Extend Forms" was enabled when you first created it.
