I have an issue with making a PDF I placed in a shared OneDrive folder a collaborative PDF and making sure all comments and notes are viewed when you open the file. It seems to vary if you make the comment in the online version or in the downloaded file.  Are there any tips/tricks to making it sync and work where the comments are clearly visible like in the prior Acrobat versions?

You can turn off the cloud options under your preferences. Then you will have the original email or server-based sharing options for commenting.

When a PDF is stored in a shared OneDrive folder, the behavior you’re seeing is usually related to where and how the comments are added. Here are a few tips to help keep comments and notes in sync and visible for everyone:

Why this happens

  • Acrobat online (web) and Acrobat desktop handle comments slightly differently.
  • If someone adds comments in the browser preview or OneDrive’s built-in PDF viewer, those comments may not fully sync with Acrobat desktop.
  • Opening the file directly from OneDrive vs. opening a downloaded copy can result in different comment states.

Best practices to avoid sync issues

  1. Use Acrobat for commenting: Ask collaborators to open the PDF using Adobe Acrobat (desktop or web at https://adobe.ly/4j7NLyt) instead of OneDrive’s preview viewer.
  2. Avoid editing downloaded copies: Downloaded files create local versions. If comments are added there, they may not sync back to the shared file unless re-uploaded.
  3. Open the file directly from OneDrive in Acrobat: In Acrobat desktop, use File > Open > OneDrive (or add OneDrive as a connected storage) so everyone works on the same cloud version.
  4. Save and allow time to sync: After adding comments, make sure the file is saved and give OneDrive a few moments to fully sync before others open it.
  5. Check comment filters: In Acrobat, open the Comments panel and confirm no filters are hiding comments (for example, showing only your own comments).
