Sharing fillable PDF forms via email

Hello, I have two separate questions, albeit related.  

 

I need to send fillable pdf forms (created in acrobat DC) to users who have varying pdf reader/writer programs on their computers.  The files need to be password protected.  (These are report cards that previously would have been shared only on the server at the school.)  Our teachers do not have remote access to this server.  They need to be able to input their information and then pass that exact form (with password protection) along to another teacher for additional data/editing and eventually to administration for final editing.  I would prefer that they not have to "save as."  Is there a simple way to set up the file so that it will save as a fillable form and can be passed along?  Or is it dependent upon the program they are using which unfortuately varies...  At this time we don't really want to do a shared online file.  Thank you!  

 

The second question is simliar.  I have a 4 page fillable form with student information that I would like to email to families this year and have them correct any errors or input new information for the next school year.    When sending en masse, do the forms have to be flattened...which would defeat the purpose?  Is there a recommended way to instruct the families to complete and save the file (provded I can get it to them)?  They already have a lot of trouble just submitting the form (when I distribute the original).

1) No, that's not possible. PDF files have to be saved for the information in them to remain, just like any other file type.

2) No, you don't have to flatten the file before sending it. What makes you think that you do?

By the way, instead of sending X copies of the same file you can just put it on a file-sharing website (like Adobe Document Cloud, or Google Drive, or something like that) and share the link to it. Just instruct them to open the file in Adobe Reader if you want it to work correctly, not inside a browser window.

Thank you so much for responding. I appreciate your help, but I apologize as I think I wasn't clear.  I want them to be able to save the exact same file and not have to "save as" a NEW file with a new name (or new location).

For the second problem the information varies on each form.  I import the data from a large spreadsheet and either print the resulting files or, at the end of the school year, email the forms to parents allowing them to change the data and email the form back (from which I can extract the data).  It's keeping the file in a fillable format that I am struggling with and I know it must be an obvious thing I am missing.

1) That's not possible if the file is hosted on a web-server.

 

2) I don't quite follow. Does the file have fillable form fields? If so, are you saying that at some point they disappear and the file is flattened?
