Question

Using forms to create an editable, printable business card file

Hi, I’m looking for any info or feedback on this topic.

I’m trying to create a press-ready editable business card template PDF for a client.

I’ve created the artwork in Indesign (CMYK) and exported to PDF where I’ve added required fields using the ‘Create a Form’ functions.

My first question is about colour space, because it’s looking like the editable fields are in RGB colour space? If so, that leaves the client with artwork that is not press-ready.

Secondly, I’m assuming i’ll be stuck with the standard/basic font selection (ie Arial).

I’m starting to think this just isn’t a viable offering for clients - too much can go wrong. Long names that wont fit without specific kerning, addresses that require more lines than allowed, or just general user error could result in a printed card that looks wrong.

Anyone else done this with successful results?

Cheers.

RGB behavior in form fields is a known Acrobat limitation, fields often don’t fully respect CMYK workflows, even if the base PDF is CMYK. Printers usually handle final CMYK conversion at RIP stage, but it can be inconsistent.

Fonts are also restricted; form fields rely on system or Acrobat-supported fonts, so you won’t get full InDesign typography control.

In practice, most designers avoid using form fields for press-critical work because of exactly the issues you mentioned, overflow, spacing, and unpredictable output. Many workflows instead flatten or generate a final print PDF after client input to keep it production-safe.

    Hi Jay74,

    Thank you for reaching out.

Adding to the suggestion provided by Dave Creamer of IDEAS.

You may set the font and font size from the form fields in Acrobat using the prepare form tool. Please refer to the information provided in the following help document: Form fields general settings.

Let us know if that helps.

    Thanks,

RGB shouldn’t be a problem. The commercial printer can convert the file to CMYK or you can do it in Acrobat Pro. You can select other fonts in your form field if they are installed on the computer--just scroll down. Set the font size to fit the longest name you think you will run into or set it to auto.
