Question

Adding the same editable form on any PDF - like a stamp, but without stamps limitations

Hello,

I tried to wirk this out for weeks now, so the forums is my last hope. The request seems to be rather simple, however, I failed to accomplish this in Acrobat DC.

What I need: The functionality to pass a PDF to multiple people (in a sequence) where every one adds information to this pdf, and then it goes to approval to be finally stamped.
Real  World Scenario: Accounting has two rubber stamps, which act as a template - or design element if you like, the first person stamps it on an invoice, fills out some data, and when his work is done, hands the paper off to the next person in the process, until it went over three desks, for final approval by head of finance. Every person in the chain, adds text into the stamped area. (see attached example, they basically enter data in cells).

We want to go paperless, so we need this workflow, but digital. Stamps don't work, because they cannot be edited. It seems like, Acrobat is incapable of placing another PDF onto a PDF. Which I can hardly believe. Shouldn't be a big problem.

How can we achieve this workflow, fast and simple? The form is already built and editable, all I want now, is to open any given invoice, and place that form wherever there is space on the first page.
NOTE: I do not want to insert the form as a seperate page. It needs to be visible on the Invoice. Specifically on the page that gives the amount, the process stamp, and the approval stamp. One glance is the goal.

Thanks,

Kevin

You can't insert a page into another page, no. What you can do it create those fields in advance, hide them and then show them using a script when needed.

thanks for the heads up. Hmm, bummer that this isn't possible. About your suggested workaround - I don't kow yet what you mean by that, but I think it says: Open the Invoice, then create the fields, and populate them by the accountants , one after another. is that correct?

If so, this isn't a feasible solution. The accountants are not used in working with Acrobat, and a repetitve task shouldn't be added to their workload. What I want to do, is "relatively simple" - at least a simple process in the real world, seems to be tricky to translate into digital. The key objective is to eliminate paperwork and the use of paper, scans, prints. There is a settled workflow, that needs to be remodeled digitally, or if necessary - adapted, to be aligned with the tools possibilities. Everything that is needed to rollout this digital handover of data, needs to be setup first and only once, so the accountants just perform a few clicks, in acrobat. Simply put: select "stamp" from library> stamp document > key in data of person one > hand over the pdf to person 2 > person 2 keys in data >sends the file to person 3 > 3 adds final data >sends it to approval >Pdf gets approved and stamped with an approval stamp. A very basic process chain. Now i want to replicate this in Acrobat. The fillable form or stamps needs to be ready to use, an invoice cannot be converted into an editable form, as this would cause too much extra work. The accountants process thousands of invoices per week, so this would really add up. It's also not very efficient, to repeat the same steps over and over again. It's hard to believe that Adobe does not have a solution for this. If you know what other options I have to achieve this digital workflow, I'm all ears

Each user will need to apply a new stamp and fill in their data.
