how to embed Calibri font to acrobat

I use Word for a text, in my computer (windows 11) is Calibri fonts. but.. when i try to make PDF file using "print" function of word that use Acrobat , the pages that has Clibri font have an error message saying that they cant make pdf file since they do not have calibri. so i thougt if i have a way to embed this Calibrit fonts to Adobe it will solve my problem.

if you think why not changing the font in my doc. well some of them are hideen fonts that i cant see' if you have a hint how to find this fonts and change them it will be ausom.

Thanks. I found that I could eliminate the hidden Calibri by going
through *Design
*> *Fonts*, in Microsoft Word, assigning the default font as Candara
instead of Calibri, and that cleared it out so I could print to PDF.

A font can be embedded only if it contains a setting by the font vendor that permits it to be embedded. For more information please check the help page https://helpx.adobe.com/acrobat/using/pdf-fonts.html

 

To embed the font, please try the steps below and see if that works for you:

1. Go to File > Print and then select Adobe PDF.

2. Click Properties.

3.  Select the Adobe PDF settings tab at the end and then click the Edit button to the right of Default settings.

4.  Next, a left menu of folders will appear in the pop up window. Click Fonts, then make sure the fonts you need to embed are on the fonts source list. If so, tick the box at the top that says Embed all fonts.

5.   If they are not, then you will need to close the pop up window and either move or duplicate the fonts files from where you have stored them to C:/Windows/Fonts. If you struggle to find this then you can search for the folder in the search bar on the launcher menu.

6.  All fonts you want to embed in the PDF should be in the Fonts source list. You now need to move the desired fonts to the Always Embed box.

7.  Click OK on the pop-up window and you’re done.

I tried your suggestion. Embed all fonts is already marked. I also tried adding Calibri to "always embed" and then to "never embed." It doesn't make a difference. I carefully went through my document to substitute Candara for Calibri, but apparently Acrobat is still trying to embed Calibri--even though no text is in Calibri. Apparently it is listed in headers as "Calibri (Body)," so global searches cannot find it.

 

Any suggestions?

It sounds like Acrobat is still detecting Calibri because it exists somewhere in the document structure, even if it's not visible in editable text.

This often happens when:

  • The font is used in hidden elements like headers, footers, or styles
  • The font appears in metadata or unused styles carried over from Word
  • There are spacing/formatting artifacts referencing the original font


Here are a few steps you can try:

1. Clear unused styles in Word

  • Open the original document in Word
  • Select all content (Ctrl+A)
  • Apply a different font (e.g., Candara)
  • Update all headers/footers explicitly to the new font
  • Save as a new file and then create the PDF again


2. Use Preflight in Acrobat

  • Go to Print Production > Preflight
  • PDF Analysis > List potential font problems. For more information please check the help page https://adobe.ly/4pNygOz 

3. Inspect fonts in the PDF

  • Go to File > Properties > Fonts
  • Check exactly where Calibri appears — this can hint at what part of the document still uses it


4. Check for placeholders
Sometimes table templates, bullet styles, or auto-formatting still contain Calibri. Reapplying styles fully in Word usually fixes this.
