Question

quick and easy signature

I am working on digitalizing our documents.  Many will need an employee to complete and sign at least a part of the form.  I'm struggling with finding a way to have an easy way for users to sign.  Many of our users are not well versed in computers so having to create a digital ID is going to produce some issues.  Is there a way for them to get a "type your name here" type field and the rest be automated?

Thanks

Joe

Typing your name someplace and applying a digital signature are two very different things. If you need to verify the validity of the signature and make sure the file has not been edited once it was applied then you need to use the latter, which yes, takes some more time to apply, but is secure. The former is meaningless, really, as anyone can type any name they want, or remove the name applied by someone else. If that's not a concern in your case then use that option, sure.

If you really want to have a quick solution it's possible to write a script that will add the user's name at a specific location on the current page of the file that is viewed with a single click.

Thanks for the reply.  I agree 100%.  The employees who would complete forms that need a verifiable digital signature would be easy to set them up.  We have over 1000 field employees who, not so much.  These employees do not have our O365 addresses either so that's not an option either.

Hi,

Are you going to be sharing these PDFs by email inside of your organization?

I'm asking because you can create a very easy workflow using Adobe Sign.

If you are the creator of the form you can easily assign signature, date and data blocks that only pertain to the user(s) that you need to collect their signatures from. This allow any user who  receives your PDF by email to only sign their signature sections in that document without interfereing with other signees portions in the same document.

As a matter of fact,  this workflow allows them to use Fill & Sign  even from a mobile device, a desktop computer with Adobe Reader or Acrobat, or even a web browser, plus Adobe Sign also lets you reuse a template to make it easier to enforce this workflow for a particular workgroup, OR, manage and create other templates for different workgroups.

Whew!  What a great sales pitch!

Thanks for the reply.  I'd love to know more about the flows.  Flows are a new thing for me too.

Hi,

My reply when I mentioned Fill & Sign didn't came out right.

I should've specify that Fill & Sign is handled and enforced with E-Sign when you implemet a workflow with Adobe Sign

Here is everything you may want to sift through if you decide the Adobe Sign workflow is best for you:

However, just to clarify, with Adobe Sign an electronic signature is applied using a solid verification mechanism.

It may not employ the use of a self-signed digital certificate with SHA hashing and decryption algorithms to protect and/or verify the validity of the signature once it is applied. BUT Adobe Sign is certified compliant with ISO 27001, SOC 2 Type 2, and PCI DSS  as stated here in the Adobe Sign FAQs: https://helpx.adobe.com/sign/faq.html

That is the highest standards.

You,  as the creator of the form can implement  Adobe Sign to assign signature blocks per recipient, by which a unique email address  is used to  uniquely identify the signer with their signature block.

This doesn't allow  just anyone to sign that block, that is the first layer of verification mechanism in this workflow.

In addition, before you send the form to collect signatures, you have options to collect the signature in Order listed or any order, have the individual sign in person with "Get Signature in Person" and then have that person sign right in front of you using your own tablet or mobile device with a touch scereen, for example. The recipient can use the finger method, or a wet signature, or even an electronic signature personalized with company logo.

The other layer of security relies heavily on assigning a password intended just for that signing  recipient  to be able to open the document, and on the very last step of this process, before the user commits to sign he/she will get a notification to Agree and consent to the Terms of Use to do business electronically :

See here for more clarification:  https://helpx.adobe.com/sign/using/customize-terms-of-use.html

And last, once you create this workflow, you can save it as a template that you can reuse over and over  again.

Very helpful for my situation as well. Thank you!
