embedded colours in AI

How can i have embedded colours? 

I had some problems with the recolouration of artwork recently due to the printing process
I'm trying to improve my Color management

Let's say I have an artwork with some colours and gradients
All the colours and gradients used in the artwork are in the swatches library

if I have embedded swatches ( meaning that the colour of the artwork is directly related to the colour of the switches itself)  Then if I modify the swatches it will automatically update in the artwork.

but so far I'm not able to reproduce this behaviour maybe I'm missing something very basic?


Also, I'd would like to know if it's possible to do the same with gradients.
I have one gradient with two colours that are referred to in the Swatch panel
if I modify one of these watches I'd like it to update in the artwork>gradient
is it possible?

Context:  I tend to work with a lot of gradients and complex nesting processes.  when I was printing for the first time I needed to do some tweaking around to match the printing profile colours.  but as it was so much time-consuming re addressing everything and re-entering in every group to change the values I just gave up and send it as it was to the print shop …. 

 

Global swatches ?

This only works if Global swatches are used; see the checkbox in swatch options:

Gradients will work the same too if global swatches are used in gradient stops.

 I didn't found any solution on how to switch an entire Swatch library from selective to Global


So I found a workaround to speed up this process
If you grab all artworks and save them on a group swatch it will work but the swatches inside the group will be sorted weirdly.

so I made an action that basically saves a new swatch,  Mapped that to an F key (mapped itself to a stream deck) and in the option I let the Pop-Up appear before saving so I can click on

Indeed the swatches need to be Global for this.

So the Swatch needs to be set up as global before you apply it.

 

What you can do afterwards is sue the swatches panel, delete all the swatches in it and then use the panel menu to generate swatches from the artwork. They will be global. But Illustrator won't generate gradient swatches from the artwork.

yes thank you for your input 
Good idea to re-enter the swatches as global on existing artwork! 

Another question: Do you know if there is a way to switch a library from selective to global? 
Let's say I want to create a RGB global swatche collection 
Do I need to address each one individually ? 

When I re import the swatches via artwork present in the artboard (Create new color group) I can set them to global, but they are sorted in a weird way

You can select all those swatches in the Swatches panel and then in the menu open their info. In that dialog box "Global" is the only thing you can turn on. But that doesn't change the color on the objects

So I found a workaround to speed up this process
If you grab all artworks and save them on a group swatch it will work but the swatches inside the group will be sorted weirdly.

so I made an action that basically saves a new swatch,  Mapped that to an F key (mapped itself to a stream deck) and in the option I let the Pop-Up appear before saving so I can click on global before saving this watch

Then I used a mouse recorder to automate the clicks for the popup and the process is automated with 2 key presses

one for saving the swatch and one to make it global and hit enter

Well I wish I knew how to code (code as a designer, weird right?!)
Or that the API, actions would register more parameters …
