Delegation query

Hi, I am testing out delegations within Adobe Pro.  From my work email, I sent an e-sign PDF to my personal email, then opened it and delegated it to someone else.  I (as the original author) received a notice that the delegatee had signed it and I received a copy, and though it stated her name, it didn't state it was signed by a delegatee, but also it won't complete til the original one sent to my personal email is signed.  But I won't be signing it as it was delegated...so I can't close it off.  Is this something I am doing wrong?  Thank you

Correct answer Amal.

Hi there,

Hope you are doing well and thanks for reaching out. It sounds like you’ve set up the delegation correctly, the workflow you’re seeing is expected behavior in Adobe Acrobat Sign.

When you delegate a document, the signing role is transferred to the new signer, but the original recipient’s “slot” still needs to be completed in the workflow. If the delegated signer signs the document, it will record their name, but the system still sees it as tied to the original recipient’s position. That’s why it’s still showing as waiting for your personal email to sign, even though the action was delegated.

If you want the process to complete without needing your personal email to sign, you’ll need to:

  • Send the document directly to the intended signer instead of to yourself first, or
  • Use the “Replace Signer” feature in Adobe Sign (instead of delegating). This actually swaps out the recipient in the workflow, so no further action is needed from the original email (https://adobe.ly/3J84ELG )

Delegating is more of a “pass along” within the same role, while replacing actually updates the signer in the routing.

Hope this information will help

hi Amal, thanks for clarifying, however if I send it to one person, who then delegates it elsewhere, where does the delegate sign the doc.  If the original recipient needs to also sign it, there is  only one space...sorry if that doesn't make sense!  Thanks
