Question

How can I create fillable PDF forms in Adobe Acrobat Sign.

I am using Adobe Acrobat Sign for sending contracts. I want to create reusable templates so I don't have to recreate the document every time. I have tried creating a template, but the recipient fields are not saving correctly. What is the recommended workflow.

I also found a detailed step-by-step tutorial here:

    Hello @powerful_magnetismfe87,

I hope you are doing well, and thanks for reaching out. We're sorry for the trouble you had.

Could you confirm whether you are using Acrobat on the web with Acrobat Standard/Pro, or the standalone Acrobat Sign Solutions service? Also, do the fields disappear from the saved template, or do they remain but become assigned to the wrong recipient? The available template types and exact navigation vary by entitlement.

Check these articles for more details: https://adobe.ly/4iGLoVa

    Suggestions:

    Select the appropriate template type.

    • If the contract wording and layout remain the same, create a Reusable document. This stores the document content and its form fields together.

    • If the contract content changes but every version uses the same page layout, a Reusable form field layer stores only the field layer. Field-layer availability depends on the license; Acrobat Pro Individual and Acrobat Standard support document templates but not field templates.

    Create the reusable document.

    • Acrobat Sign Solutions: Go to Home > Create a reusable template.

    • Acrobat on the web: Go to E-sign > Create e-sign template. Enterprise users may be redirected to Acrobat Sign.

    • Add the contract, enter the template name, select Reusable document, choose Who can use this template, and then select Preview & add fields.

Add every participant role before placing fields.
Add the maximum number of people who may need to interact with the contract. Templates use placeholders such as Participant 1, Participant 2, and so on—not permanent recipient email addresses. Participant 1 maps to the first recipient in the signing flow, Participant 2 to the second, and so forth.

    Assign each field explicitly.

    • Select the appropriate participant before placing that participant’s fields.

    • Fields placed manually—or automatically placed—are assigned to the participant currently selected in the authoring environment.

    • To verify an existing field, open its properties and check Assigned To.

    • Use Prefill only for information the sender must enter before sending. Use Anyone only when any recipient should be permitted to complete that field.

Save the template and test it before sharing it.
Start a test agreement from Home > Start from library, or select the template under Manage and choose Use Template. Add test recipients in the same order represented by Participant 1, Participant 2, and so on, then preview the fields before sending.

If the assignments are still incorrect:

    • Reopen the saved template itself and verify that all expected participant placeholders were added.

    • Check each affected field’s Assigned To value.

    • If you used a form field layer, note that applying it to a document assigns its fields to the recipient selected at the time the layer is applied; review and correct those assignments before sending.

    • In Acrobat on the web, use Documents > Acrobat Sign > Manage > Templates, hover over the template, and select Edit to update its fields.

I hope this helps, and please let us know how it goes. And reach out if you experience any issues or need any assistance.

    Regards,

    Anand Sri.
