PDF Spaces and Adobe Sign templates

PDF Spaces and Acrobat Sign templates are two separate systems that do not integrate (as of now).

• PDF Spaces is a collaboration feature for:

  • Reviewing

  • Commenting

  • Sharing static PDFs

• Adobe Sign templates (Library Documents) are:

  • Transactional assets

  • Stored in the Acrobat Sign backend

  • Governed by roles, signer routing, and audit trails

Because of this:

• PDF Spaces cannot host or reference Sign templates

• A Sign template cannot be launched or shared from a Space.

Even when “Make available to my organization” is selected, two things must be true:

1. Users must belong to the same Acrobat Sign account (tenant)

2. Users must have:

   • Acrobat Sign is enabled on their profile

   • Permission to send agreements

If either condition is not met, the template will:

• Appear missing

• Be visible but not usable

• Fail when sending

This is the most common reason for what you’re seeing.

Here is a suggestion that might work for you.

When creating or editing the template:

1. Go to Acrobat Sign → Manage → Templates

2. Edit the template

3. Set:

   • Who can use this template → Entire organization

4. Save

Then verify:

• All users are in the same Sign account

• All users have sending permissions

This allows everyone to:

• Use the same prefill fields

• Use the same two-signature workflow

• Maintain a single source of truth
