Question

InDesign/Reader Creating Duplicate PDFs in Sharepoint

We recently switched to MS Sharepoint having previously used dropbox to host all our files. We've found since the switch that if one person has a PDF document open and then another user exports a new version of that PDF from InDesign, it creates a duplicate of that file with a file name along the lines of 'FileName-MachineName'. Previously, with Dropbox, it would simply overwrite the existing file.

Is there any way around this to avoid creating the duplicates? Would we get the same result if, e.g. our team only viewed the PDFs online rather than on the adobe reader?

You may get different results viewing PDFs by browser than with Acrobat/Reader. I think you might get different results with different browsers and/or computer platforms. You're probably going to have to test to find the best results for you.

But I'm curious why you wouldn't want duplicates. I've spent hours and hours, and both paid and made money, to hunt down version control issues where InDesign and PDF files were being changed and old, supposedly fixed problems kept creeping back into the production system. Having two people working on the "same" file, or more precisely opening one file and overwriting each other's work from their system temporary files every time they hit File>Save, strikes me as a workflow fraught with peril.

Jus' sayin' ...
