Robohelp 2022 - What do the red x's mean in a TOC

Hello.  I have 2 questions here related to RH 2022 TOC.  I've been struggling with an issue related to the red X's that appear in my table of contents (TOC), and I'm hoping to get some clarity on it. When I autocreate a TOC, it looks fine initially. However, if I add images for the tiles by right-clicking on an item in the TOC, selecting "Properties," and setting a picture in the "Tile Image" field. After clicking "Apply," I often find that a red X appears next to the item. I can't identify a consistent pattern or specific action that triggers these X's. It seems that the red X's tend to show up when I make changes to the properties, such as setting the source images for tiles, after the TOC has been generated and saved. The frustrating part is that they rarely go away. If I delete the TOC and create a new one, it comes in without the red X's, but then I have to go through the process of setting up all of my images again. It's baffling to me what the red X's signify, It's really been driving me crazy, and I can't understand why there isn't more information available about this issue or how to resolve it. Thank you for any insights you can provide!

Another question I have is how to update an existing TOC.  In this project I have had to recreate TOC more than I care to mention.  When we go in and add 15-20 new folders with new topics in them and we want those 15-20 new folders to show in the TOC, how do I simply add those changes into an existing TOC that is already created and has images set up for tiles, etc?  I don't want to delete my existing TOC because throughout the months I have made manual changes to the existing TOC that will be lost if I delete it and recreate it.  I want to keep the TOC exactly the way it is and auto- add all of the newest topics to it without having to drag and drop each topic into the TOC.  How is that accomplished in Robohelp 2022?

Thank you.

To help with the understanding of Resource Linking, forget the TOC issue for the moment. Let's think about images in topics.

If you link a topic to an image that is not in the project, it will fail to generate. Only images in the project will generate. Some RoboHelp users have access to folders of images that are not part of RoboHelp. The images will be used by other people in the organisation. To link to those you link the folder using Resource Linking. That folder shows in RoboHelp and the images can be used in topics. If someone changes an image that you are using, it will show in RoboHelp as out of sync. You can then update to the new version or not.

Going back to your original TOC problem, if you were using images outside the project, that was doomed to fail. I therefore suggested Resource Linking to see if that helped.

You now have the images in the project but you need to link to them in the TOC as that doesn't know they are there.

Having the images inside the project is preferable unless there is good reason for having them external, when Resource Linking will need to be used.

I read the information on resource linking.  I'm not sure I'm following.  In the meantime, though, I just added all of my images that I need for my tiles into the assets/contents/images folder.  If I do that, do I still need to right click and link something?  I'm missing the point of it and so it doesn't make any sense on the why behind what I'm resource linking.  I'll play around with it tonight.

Is the images folder linked using Resource Linking? If not it will fail. See my site for information about Resources Linking.

Thanks, Peter and Jeff.  Jeff, I've moved all my images into my RH project folder inside the images folder.  I haven't tested it  just yet.  I'm going to follow up on Peter's suggestion first and look at the Resource Linking information!!  I'll let you know how it goes.  Thank you 🙂

Usually it means that there's an issue with a path or link to something. Are you sticking all your images into a common location in the project to draw upon?

Hi Jeff.  I have all of my images in a project folder but not inside my Robohelp project.  Do I need to move them into my RH project folder?

Try it with one and see if it makes any difference.
