Question

Updating styles using MS Word

I generated a .doc file using RoboHelp. I opened the .doc and I wanted to update the styles for Heading 1, Heading 2, and Heading 3 so that they would use outline numbering. The numbering shows up in my document correctly. When I go to view the document map, however, not all the headings are numbered. It may show 1.1. The heading for 1.2 shows up in the document, but the number 1.2 does not show up in the document map. This happens throughout the document map.

I need to convert the .doc to a .pdf file. I need bookmarks in the .pdf. The .pdf file will display the outline numbering in the same manner that the .doc document map does.

I tried creating a template and then selecting that template within RoboHelp when I generate the document. This does not resolve the problem.

Does anyone have suggestions on how to update the HEADINGS so that outline numbering can be used?

I don't have a solution (I can't even replicate the problem), but you might try a quick-and-dirty trick I used to use for my Word docs.

Try Edit > Replace with the style Heading 2 selected in both From: and To: fields (no text in either field). Hit Replace All. Then check your doc map and see if the numbering worked.

I found this "refreshes" the style and seems to strip out some of the confusion between CSS styles and Word styles. You can do this for any style you want to match your Word template. (PS - Unless you have inline formatting you don't want to lose...but you're far too experienced an RH user to do that!)

That method also works when replacing all the "smart" auto-formatting that creates so many problems for HTML and Printed Docs output ("curly quotes" ellipses. etc.), even more so in RH6 and RH7. You turn off the auto-formatting first, then refresh double quotes, ellipses, etc as Elisa said.

Good luck,
