Adobe Sign for Salesforce - Limited Document Visibility

Hi everyone,

Hoping to get some help on this. I have recently implemented Adobe Sign in my Salesforce org and it's working great. I have a use case similar to the one the Adobe Sign website describes for using Limited Document Visibility: a new hire signs and offer letter and afterwards receives the signed offer letter and additional documents that were attached to the agreement but did not have any fields that required action from the new hire.

It works great - but the main issue is, the Limited Document Visibility only works if more than one recipient is included. I really don't need another recipient - I just need the new hire. As soon as I remove the second recipient, the new hire can see all of the documents that were previously hidden and the Limited Document Visibility is disrupted.

Does anyone have any creative workarounds for being able to use Limited Document Visibility but only have one "true" recipient? I'm open to anything.

Hi Abby,

Thank you for reaching out.

The Limited Document Visibility rules expect two prerequisites:

1. There must be more than one recipient

  •  Recipients include any user added to the signature/approval process
  • CC'd parties are not recipients.

2. There must be more than one file added to the agreement

  • Files are any attachment used to build the agreement (.doc, .xls, .pdf, .png, etc)

If either of the above requirements is not true, Limited Document Visibility rules are suspended for that agreement.

As you wish to use the Limited Document Visibility and need to add only one recipient, you may use a workaround for this. Try adding the same recipient twice and add the fields accordingly. That means you will add the same address as recipient 1 and recipient 2.

Check if that works for you.

You may also try to check if you can create a workflow for this. For more information about the workflow feature, please refer to the following help document: https://helpx.adobe.com/sign/using/workflow-designer-signature-workflow.html

Let us know if you need any help.

Thanks,

Meenakshi
