Cannot ENABLE SharePoint Integration.

New Here ,
Sep 26, 2013 Sep 26, 2013

Our organization has a Sharepoint 2013 deployment and uses Acrobat Pro XI.  We use document libraries with with check in/check out and verioning enabled.  When opening a PDF from within a library, the document opens in Acrobat without issue but we do not receive any prompts to check the document out.  This prevents us even from manually checking out the document in sharepoint, opening the document, saving the document back to sharepoint because Acrobat tries to save it to a local AppData Temp directory.   I've seen a thousand answered posts about how to DISABLE SharePoint integration, but I'm just looking to get this functionality in the first place.  The problem could be related to a SharePoint setting but I cannot cind such a setting.  Our office documents prompt for checkout when opened as they should - Just not PDFs.

***Some additional information:  From Acrobat, if I click  File>Open, then select "open from online account"  and connect to my sharepoint server I can check in and out, but some of our libraries are over 9GB and cause Acrobat to crash every time I try to open the library, so this is apparently not an option for us (although it would be nice!!!).

Thanks!

Hi Kriti,

We are having the same problem : sharepoint 2013 and the integration with PDF is NOT working. PDF file is opening in Adobe, but no Sharepoint Server item in the file menu.

(not possible to check in and out as it is displayed it the demo on the adobe site)

Demo Adobe :

Our screen (without 'SharePoint Server')

The link you specified is ONLY for sharepoint 2007 and sharepoint 2010.

Is it possible to get the specifications for sharepoint 2013 ?

I know that for sharepoint 2013 the directory is 15 instead of 14 and 12.

But the problem is  with the mapping key phrase :

The DocIcons file is completely different in sharepoint 2013 :

some examples :

  <Mapping Key="docx" Value="icdocx.png" EditText="Microsoft Word" OpenControl="SharePoint.OpenDocuments" OpenApp="ms-word"/>

or

    <Mapping Key="xls" Value="icxls.png" EditText="Microsoft Excel" OpenControl="SharePoint.OpenDocuments" OpenApp="ms-excel"/>

For pdf is think it should be :

mapping Key="pdf"

value="icpdf.png"

??? Edittext="Adobe Acrobat"

??? opencontrol="Sharepoint.opendocuments"

??? openapp=" ?????????"

Or are there other things that need to be configured ?

Thanks.

I literally just started a new thread on Microsoft's support page about an hour ago ===> Editing PDF's from Sharepoint library using Adobe Acrobat 10/11

I'm glad we're not the only ones, and are very anxious to get this working.  On the downside, Microsoft seems to have the stance that this is not an out of box feature and its not supported because its Adobe 😞  But there has to be a way to get this to work.  Also, as I mentioned in the ticket above, the desired behavior happens when searching for a specific pdf.  The SharePoint server option then shows up in Acrobat.

We have the same problem and I have searched but no solution. Users are not able to edit PDF in sharePoint. Have hundred of pdf's that need comment to be added but all the options are grayed out when opening from SharePoint. Is there a solution to enable editing feature in SharePoint? We are using SharePoint 2013? Anyone?

Hi TriumphS,

1. What browser are you using and Reader/Acrobat version.

2. Does the PDF open in browser or the standalone application (Acrobat/Reader).

3. Can you please open DocIcon.xml from %ProgramFiles%\Common Files\Microsoft Shared\web server extensions\15\TEMPLATE\XML and check if there is entry for "pdf"(Mapping Key="pdf"). If yes, can you please share the whole XML entry here.

4. What happens when you open file from sharepoint using Adobe Reader directly. To do so:

      • Choose File > Open or click Open from the welcome screen.
      • Click Open from Online Account and select New Account...
      • Choose your online service(sharepoint), enter the web address to the site, then click Continue.
      • Once you are logged in to your online account, navigate to the library where your PDF file is storeda nd open it.

5. Can you paste a screenshot of all the options being grayed out.

Also, I did try using following method which works but again when saving the edited pdf with comments; we are having to manually select online server again and go throught all those steps in trying to save it to the original sharepoint location. Is there any method to make this process less cumbersome and easy for users to open and save from Sharepoint.

" What happens when you open file from sharepoint using Adobe Reader directly. To do so:

      • Choose File > Open or click Open from the welcome screen.

      • Once you are logged in to your online account, navigate to the library where your PDF file is storeda nd open it."

edit: Also, when saving it to the sharepoint server using above method; we are getting error message that you don't have rights permission to save it ....

You need to have write permissions. Is seems you have been given only Read permission.

Also when you said the options are grayed out, it means you are checking it in Adobe Reader but you also said clicking the PDF in browser, opens PDF in browser and not Adobe Reader application itself.

Well, I was able to figure out the permission part and it works as saving the pdf's now; which is great.  As far as the XML file; i will talk to our system administrator to check the server side to make sure XML entry is there. Since we are using the local Reader now the options are not grayed out. We will use the method of opening PDF file through Adobe Reader application for now, till we find the way of opening the PDF from the browser with Check in and Out option to edit it local Adobe Application.

Thank you for your help. I will update on this discussion.

Ok, I went to setup the SharePoint access through Adobe Reader on departments computer. I am able connect the SharePoint location and save the online location and the pdf files open; but not getting the Check Out option. The pdf opens up and after we add a comment and try to save it...it prompts for a location to be saved and if try to save to the online sharepoint location; it says access denied. Any idea...how to fix this issue or it prompts for check out and able to save the sharepoint location.

As for the Access denied issue, you might not be having Write permissions over the SharePoint.

Also does all other people who use this sharpoint as you are using, are not getting the Check Out option. Then you need to have a look into docIcons.xml as suggested earlier.

Acrobat is prompting you to save the PDF to temp folder, as it downloaded to this location whenever you click the link in IE.

To help you fix the issue, I have some questions:

1. What browser are you using and its version.

2. Please check whether "Adobe Acrobat Sharepoint OpenDocuments Component" and "Adobe PDF Reader" add-ins are enabled in IE or not. If not, please enable them and then try to open the file.

3. If it still doesn't work for you, can you please open DocIcon.xml from %ProgramFiles%\Common Files\Microsoft Shared\web server extensions\15\TEMPLATE\XML and check if there is entry for "pdf"(Mapping Key="pdf"). If yes, can you please share the whole XML entry here.

TriumphS,

If you are using Sharepoint 2013, you must have the folder : %ProgramFiles%\Common Files\Microsoft Shared\web server extensions\15\TEMPLATE\XML.

This folder is to checked on machine on which Sharepoint server is setup.

Also when you open the PDF in browser from sharepoint, does IE show any message in the ribbon saying that whether to enable "AcroPDF.dll" or  "Adobe Acrobat Sharepoint OpenDocuments Component" .

Hi Nikhil,

Thanks for your response :

1) We are using IE 11, adobe XI and Sharepoint 2013

2) both are enabled (when they are enabled, pdf is opened in IE directly and then we are unable to add comments ...). I do have full control in Sharepoint to read, write, edit ...

3) the full entry in the XML DocIcon.xml file is :

    <Mapping Key="pdf" Value="icpdf.png" EditText="Acrobat Reader" OpenControl="SharePoint.OpenDocuments" OpenApp="AcroRd32"/>

Thanks in advance for your further help.

Hi seefbier,

Editing the entry to have "AdobeAcrobat.OpenDocuments " as OpenControl should work in your case.

i.e, replace

<Mapping Key="pdf" Value="icpdf.png" EditText="Acrobat Reader" OpenControl="SharePoint.OpenDocuments" OpenApp="AcroRd32"/>

with

<Mapping Key="pdf" Value="icpdf.png" EditText="Acrobat Reader" OpenControl="AdobeAcrobat.OpenDocuments" OpenApp="AcroRd32"/>

And as for the case you are not able to add comment, can you just open the downloaded pdf and check document properties. To do so:
Open File->Properties->Security

Hi Nikhil,

I made the change to docIcons.xml as specified and restarted the windows 2012 R2 server.

But all problems are still the same : The 'sharepoint server' option in the file menu is not displaying.

And as for adding comments : this is also still not possible.

We are able to edit if we open the same pdf-file outside of the browser but directly in adobe. Then we can add all the comments that we want.

But ofcourse no direct check-in and check-out possible.

So ... please a straight answer :

Is it possible to use Adobe reader XI integrated with Sharepoint 2013 on premise installation ?!?

What is activating the 'sharepoint server' option in the file menu of Adobe ?

Thanks for your support.

Hi Everyone.  Just making sure we're still on point with the original question but isn't the main problem not being able to edit PDF's directly from a SharePoint library.  Opening them in Adobe Reader is not going to help anything.  Again, from my post above and what the original post was saying, the option of "SharePoint Server" is not showing up when opening PDF's from the library, which then of course you cant make changes directly to the PDF.

Did anyone ever get this figured out?  Same situation as all others - SharePoint 2013 on-premises, Acrobat Pro 11.  If the pdf is opened from a search result, it prompts as expected for Check-Out and edit and the SharePoint Server menu item is available.

If the PDF is opened from a document library, it does not prompt and the SharePoint Server menu item is missing.

I have tried the edit to the DOCICON.xml file on my WFEs and it makes no changes.  I've done much searching online but all I ever see is the DOCICON "fix" and that it seems like it should "just work" (according to the Adobe site when it talks about the features of Pro 11).

Funny enough this work fine in SP2010 (our old environment).

Thanks!

Hi Ruby,

Nope, no anwser. You gave the perfect description of the current situation, but nobody from Adobe feels the need to give an anwser / solution.

I think that Adobe currently prefers that you store your pdffiles on-line on their cloud and not in Sharepoint ...

So no solution ...

And waiting for the resurrection of the Adobe support people

This is a user to user forum and the responding staff are volunteers (not on the support team).

SharePoint integration is of course supported as indicated by all the documentation, and it does work for most customers. Troubleshooting the problem here is more complex than other issues because it involves integrating two enterprise products and working with files across a network. There are literally thousands of possible environments and factors which could affect the functionality. It's difficult to fix issues that can't be reproduced internally.

While it looks like some of the issues above have found solutions, the original one has not for some users. More environment details may be required. Here are some troubleshooting steps to double check first:

  • Have an admin configure the server and clients as specified in the Admin Guide.
  • Use a supported browser.
  • Enable the "Adobe Acrobat Sharepoint OpenDocuments Component" and "Adobe PDF Reader" add-ins in IE.
  • Verify this folder exists on the server: %ProgramFiles%\Common Files\Microsoft Shared\web server extensions\<version>\TEMPLATE\XML
  • Verify Doclcon.xml exists in the above location.
  • Verify this line is correct: <Mapping Key="pdf" Value="icpdf.png" EditText="Acrobat Reader" OpenControl="AdobeAcrobat.OpenDocuments" OpenApp="AcroRd32"/>
  • Determine if the problem affects all users or some users. The former would likely indicate a server issue while the latter points to a client-side issue.
  • Verify you have write permissions to any location the Acrobat product or SharePoint needs to write to.
  • If you can't edit a PDF, check its security properties via Open File > Properties > Security.
  • If clicking on a PDF document in a SharePoint library shows the error "There was an error opening this document. The filename, directory name, or volume label syntax is incorrect.", then update SharePoint. See the Microsoft Technet Forum:  http://social.technet.microsoft.com/Forums/en-US/sharepointgeneral/thread/49aed23c-cf9c-43 39-8c17-ff1df65649a6/.
  • If the "Check Out and Open" PDF files in document libraries menu item is not present, make sure the latest is SharePoint update is not the March cummulative update for SP 2013. Microsoft confirmed a bug in that update. See https://forums.adobe.com/message/6579072#6579072

hth,

Ben

Here is the SharePoint add-in that does not require "Adobe Acrobat Sharepoint OpenDocuments Component" and works in IE, Chrome, FF and Edge: https://www.youtube.com/v/VDwHuy9BqK0?start=0&end=37

It can open document directly from SharePoint document library web page and save back directly to SharePoint server from Acrobat Pro UI with a standard Save toolbar button.
