When placing pdf, font not allowed

Workflow: (This is a workflow we've used for at least 6 years with no problems.)

1) Create several InDesign docs, all covers using a variety of fonts.

2) Preflight. No problems, specifically no font problems in any of the files.

3) Export print-ready pdfs of covers

4) Create an InDesign doc, an ad.  Place pdf covers from above. For an ad, covers are very scaled down.

5) Preflight and receive "Font not allowed" referencing use of fonts in the pdfs of covers.

I've researched the list of fonts not allowed and they are from a mix of sources:  Futura PT (Adobe Type, with a disabled Futura on my computer), Gill Sans system font (legitimately may not be embedded), Museo Sans free font (no embedding restrictions, also not activated from cloud), and purchased font Sveva Versal (preview and print embedding allowed). The use of all other fonts on the docs are ok.

PDF export, I've used 0% subset and 100% subset, exporting PDF/X-4:2008

I've exported the covers as jpgs with predictable, substandard results for legibility. I've exported and placed the covers as eps files, but the "Font not allowed" persists.

Even though a print-ready pdf of the ad looks fine on my computer, I don't want to trust that my printer in Korea has the correct fonts. What do I do?

If you just need a small previews of the covers - why not just exporting high-res JPGs ??

I know it won't fix the problem 😉 but just a quick solution 😉

With a placed pdf, everything is readable. With a jpg, legibility is severely compromised because of the change in scale. I thought of taking a screenshot of the placed pdf at 100% size, and relinking to the screenshot—but that shouldn't be the solution!

Have you tried placing the InDesign documents instead of PDFs?

I can't, the ads are sometimes placed inside the same InDesign file that made the covers. This would be a solution otherwise.

Have you made sure that none of your fonts are (the soon to be extinct) Postscript type one versions of the fonts? As of January they will no longer be supported at all in Adobe programs and their use even now may lead to a problem such as this. You mentioned that your Futura is an Adobe font. Nowadays that would mean an OpenType font. However back in the dark ages of desktop publishing Postscript type one fonts were often referred to as "Adobe" fonts so you might want to verify that your Futura is the right kind of Adobe font. Using all OpenType fonts would be the best way to assure success with fonts.

Yes, there are no font problems in the original InDesign files.

Create outlines from all texts?

No, you must not do it for this purpose, noi don't do that in InDesign for production purpose. No! No, don't do that. It will cause a bunch of problems.

What kind of problems?

  1. Avoid EPS in modern times.
  2. Export PDF/X-4
  3. If you need to place those files into InDesign, do not use JPG, no PDF/X-1a, no PDF/X-3. Into InDesign import (place) only PDF/X-4, nothing else.

I've tried this, still get "font not allowed".
