Indesign/Google Drive Workflow

I'm the system admin for a magazine company. We'll be moving all our files from local servers to Google Drive in the coming months. My editors and co. are worried about workflow, particularly when multiple people make changes to the same file. Google has assured me that nothing will be overwritten in this case, but that 2 copies of the file will be saved instead. This presents it's own problem, however. This would create the need for an added step of combining the copies into a final document.

I've contacted Google a couple of times and they say that there's currently no way to tell if someone else is working in a file. It would be great if one of my users could click on a file, see that someone else is working on it, and simply wait until it's open. Or even if there was a way to lock a file when it's being worked on so that other users can only open a read-only version - which is how it works with local storage as I understand it.

We're all thinking that surely we can't be the first to encounter this issue! Hopefully you guys have some ideas.

PS - constant communication, while a simple and solid suggestion, is difficult for us as many of my users work remotely rather than in the office.

We looked into going that route, but the limited storage space was an issue. Our company has unlimited Google Drive storage with our G Suite account. Thank you though.

Hi

I dont know "Google Drive" but, can you tag a file with a visual (red dot) when a user work on it, then un-tag it when done ?

That's something I do on DropBox.

For editing, have you looked into using InCopy instead of InDesign? It lets users check out stories for editing, blocking others from doing so, and then they can check the story back in for others to edit.

For InDesign users, they will have to communicate, regardless how difficult. The problem with cloud-based storage services is the first person has to wait for the file(s) to upload to the cloud--then the other user has to then wait for the changed file(s) to download from the cloud. This is the nature of the beast...

There are other services out there that work like virtual internal servers.

Thanks for the response. I've suggested to my editors that they use InCopy, but they said it wouldn't work for them. Apparently, they are much more involved in the process of creating each of our publications in Indesign itself than most editors. That's not really my area of expertise, so I defer to their judgement, especially since they've all been working in the same workflow system so long.
