Updating a module with the latest version of Adobe Learning Manager: How to replace a content/module in a course without disturbing the user’s progress. Problem Statement: It is observed that Authors sometimes replace the content at the course level, rather than updating it at the content level.Replacing the content at the course level impacts the user’s progress, user progress will show zero progress if the course has only one module.Role: AuthorBrief Description: It is recommended to replace/update the modules at the content library (see the screenshot below) rather than at the course level. This will ensure the user's progress remains intact. Once you update/replace the content here, clicking the upload icon (marked in the red circle in step 4) will update all courses that have this content, with the latest version. Steps to be followed: Log in as Author Go to Content Library Open the content to be updated/replaced and click on edit Remove
I have added an interactive PDF to the resources, but users are not able to use the interactive features of the PDF. However, I can download the pdf and use the features but other cannot.
If a learner is enrolled in a course through a learning path, the course will not appear as a standalone course in search results.Instead, the learner will see the learning path that includes the course. This was the default behavior earlier in ALM.However, now learners though enrolled via learning path, can still search for the standalone course if the below setting is enabled:Login as admin. Navigate to Settings >> General Select below checkbox
Admin can configure the L3 feedback notification for manager upon learner completion immediately or can be triggered after some days.Steps to configure:Log in as Admin → Feedback Forms → Settings → L3 Feedback.2. Select the reminder option as “After completion”, then specify the number of days after which the L3 feedback notification should be sent to the manager. For example, you can enter for 30 days and choose the reminder frequency (e.g., every day or every 2 days). The system will then begin sending the notification starting 30 days after completion, based on the selected frequency.
If an external learner is deleted by admin as the user is no longer part of that external profile or organization and now in case the user is rehired and belongs to a different organization or partner, admin can follow the steps below to reactivate the user profile:When admin tries to add the user again, system will through error that user with email already exists. To resolve this issue,Login as Admin. Navigate to Users >> External users. Open the External profile and click on learners. Now select the deleted user whom you want to reactive as below and click on actions >> click on ‘Make user active’If the user belongs to a different organization, select the user again and click on actions >> select Change profile. You will see all external profiles. Select the external profile to which you want to move the learner to: Post that the learner will be moved to the new external profile.

For Connect VC sessions, learners can join in two ways: 1. ALM-managed entryThe ALM captures the required learner details in advance, allowing the learner to enter the session directly without additional login steps.2. Connect authenticationThe learner must log in using their Connect credentials to access the session. The email ID used for Connect must also be registered in ALM for successful authentication and tracking. In the second scenario, learners may have the option to join as a guest. However, if they choose to join as a guest, ALM will not be able to record their attendance, as the system cannot accurately verify the learner’s identity based on name alone.Connector set-up: While setting up the Connect connector, if you need the learner to enter the session without connect authentication, then we need to uncheck the below option: In the connect profile for the instructor, ensure that we select anyone with the meeting URL can join the session so that learner can enter the sess
Learners are not seeing a specific learning path in the catalog. Admin needs to check the settings below: Check if the learning path is added to the catalog: If the learning path is not added in the catalog, add the learning path by selecting it under content >> Learning path. If the learning path is already added and still the learners are unable to see it, then open the learning path and check below Enrollment type field: If it is showing as admin enroll, then learners cannot see such learning paths in the catalogs as only admins can enroll the learners and cannot self-enroll. Change the setting to ‘Self enroll’ and republish the learning path. Users can now see the learning path in the catalog.
In some cases, administrators unenroll learners because learners no longer need to take the course or need to be enrolled in a different instance. In such scenarios, the administrator must enable the required email templates at the course level to trigger both the session cancellation email and the course unenrollment email. If these templates are not enabled, the session cancellation email will not be sent, and the session will continue to appear in the learners’ calendar. Once learners are unenrolled and the appropriate templates are enabled, the session cancellation email is triggered, and the session will be marked as cancelled in the learners’ calendar.
When admin is trying to enroll the learners through a learning plan to a specific course, sometimes, there is no option to select ‘Auto’ Instance in the drop down. This is because, if we have Multiple enrollment option or instance switch option enabled for this course, then we cannot see Auto instance option in the learning plan. You cannot enable Auto Instance if "Multiple Enrollment" or "Instance Switch" are enabled. If these toggles are active, disable them and check if the auto instance option appears. Login as Author >> Navigate to course >> settings and check below options:
You can delete the user directly or unenroll and then delete it. If you delete the user before unenrolling, you can see that user as ‘inactive’ under the course as below:The enrollments number will show active users + deleted in Preview as a learner page as shown below:However, after deleting the user, you can also unenroll that user from course. We can see the unenrolled users under the ‘unenrolled tab’ as below:
Adobe Learning Manager (ALM) allows organizations to delegate administrative responsibilities using Custom Roles, including the ability to manage Learning Plans. Because Learning Plans automate assignment of training based on rules, it is important to understand how access works for Custom Admins with full scope or limited scope, and what happens when scopes or user groups change later. This article explains:How Custom Admin permissions work for Learning Plans Differences between full‑scope and limited‑scope Custom Admins Visibility and editing rules How reports behave Important edge cases involving scope changes, user-group changes, and catalog access1. What Learning Plan Permissions Can Be Granted?A Custom Admin can be given:Full Control of Learning Plans Read‑Only access to Learning PlansFull Control allows creating, editing, enabling/disabling, and deleting Learning Plans.Read‑Only allows viewing and downloading Learning Plan reports, but not editing or creating Learning Plans.2. Why “Recommended by Admin” May Not Appear for Enrolled Learners in Adobe Learning Manager Administrators using Adobe Learning Manager sometimes notice that the “Recommended by Admin” section on the learner homepage does not appear for certain users. This can create confusion, especially when admins expect learners to see important recommended courses.Understanding how this section works helps administrators manage recommendations more effectively. The IssueIn the learner homepage the “Recommended by Admin” section was not displaying courses for learners who belong to the user group targeted for the recommendation in the announcement settings in the recommended courses. The user has correct access to the courses and paths as well.Key observations included: The Recommended by Admin section appears only for learners who are NOT enrolled in the recommended learning objects. If a learner is already enrolled, the recommendation will not appear in that section. If the learner unenrolls f
Adobe Learning Manager VILT Invitation Emails Not Sent to Some Learners? Here’s the FixVirtual Instructor-Led Training (VILT) sessions are a core feature of Adobe Learning Manager, enabling organizations to deliver live online training through integrated calendar invitations and automated notifications. However, administrators may sometimes notice that some learners receive virtual session invitations while others do not, even though they are enrolled in the same course. This article explains why this happens and how LMS administrators can resolve it quickly.Common Scenario: Some Learners Receive Invitations, Others Don’tA common issue reported by LMS administrators is: Certain learners did not receive the VILT session calendar invitation Other learners received the invitation successfully When the admin tested the process later, the invitation email was received correctly At first glance, this can look like a mail delivery or platform issue, but the root cause is often related to e
Middleware‑Orchestrated Content Migration from DAMs to Adobe Learning Manager (ALM) Using Box FTP + ALM APIsEnterprises often centralize training assets in a Content DAM (e.g., Aprimo, AEM Assets). To keep Adobe Learning Manager (ALM) continuously in sync, you need an automated, metadata‑driven pipeline for ingesting files and registering versioned learning modules. ALM provides a dedicated migration framework—Box‑backed FTP plus V2 APIs—and a Migration Project construct to do this at scale. The official Migration Manual outlines the end‑to‑end approach and expectations for Integration Admins performing content/data migration into ALM.Prerequisites for ALM Content Migration automation:Before beginning DAM → ALM ingestion, these prerequisites must be met:Content Files Supported formats include:VIDEO, AUDIO, PDF, DOC, PPT, SCORM12, SCORM2004, XLS, etc. (SCORM/HTML must be zipped; other formats must NOT be zipped.) Metadata Files module.csv module-version.csv These represent ALM’s sourc
Building Custom Non‑Logged‑In UI Using Adobe Learning Manager (ALM) APIs (Ungated access)Creating personalized public‑facing learning experiences is becoming essential as organizations move beyond gated learning portals. Adobe Learning Manager (ALM) supports this through its Non‑Logged‑In APIs, enabling teams to build custom headless UI/UX experiences where users can browse training information without authentication. These APIs power AEM Sites–based, headless, or fully custom front ends, allowing you to expose learning catalog data while keeping full control over the user experience. The public APIs are rooted in the Training Data Access Connector, which must be enabled by an Integration Admin. This connector exports training metadata needed to serve accurate catalog information to public visitors. [community.adobe.com] Why Non‑Logged‑In APIs MatterWith ALM’s new non‑logged‑in capabilities, users can now explore courses, learning paths, certifications, job aids, browse catalog categori
Details of new L1/L3 Feedback report and API to extract data. The attached document outlines the updates to the L1/L3 Feedback report structure, including new data fields, question modeling, and an API for data extraction, aimed at enhancing flexibility and analytical capabilities. Overview of Report Changes The new feedback reporting system retains core identifiers such as user, training, and date information but introduces a more flexible, question-type-based schema. It replaces fixed, modality-specific questions with a generic model supporting multiple question types—NPS, Likert, Text, and Course Effectiveness—and incorporates feedback form versioning and multilingual support. This allows administrators to create, reuse, and evolve multiple feedback forms without schema changes, enabling richer, more customizable feedback collection and analysis. Structural and Question Model Enhancements The old report had a limited, fixed set of questions with hard-coded columns for specifi
Case 1: Enterprise Centralized Learning Hub – ALM as LTI Provider to CanvasIntroductionA global enterprise uses Adobe Learning Manager (ALM) as its central corporate learning platform while regional universities and partners use Canvas. The organization wants employees and partners accessing Canvas to seamlessly launch ALM compliance and certification courses without separate logins. In this case, ALM acts as the LTI 1.3 Tool Provider and Canvas acts as the LTI Consumer (Platform).Business Objective• Deliver compliance training hosted in ALM to users inside Canvas.• Maintain centralized reporting in ALM.• Automatically provision users.• Synchronize grades back to Canvas gradebook.Architecture OverviewWhen ALM acts as the Provider, Canvas sends a secure LTI launch request to ALM. The flow includes:1. OIDC Login Initiation URL This URL starts the OpenID Connect authentication handshake. Canvas redirects the learner’s browser to ALM using this URL.2. Redirect (Launch) URL After authen

Understanding Login vs Access in Adobe Learning Manager Login-Access Report of Users.IntroductionIn enterprise learning environments, reporting accuracy is critical. Administrators rely on platform analytics to measure adoption, user engagement, and compliance readiness. This report is available under the admin role >> Reports >> Custom Reports >>Excel ReportsThe core question was simple yet significant: What exactly is the difference between a “Login” and an “Access” in the ALM report? This article explains the definitions, technical behavior, reporting logic, and practical implications of these metrics in a clear and structured manner. The Admin Question:Admin reviewed the Login/Access Report in Adobe Learning Manager and noticed two separate metrics:• Login• AccessAdmin requested clarification on:1. What technically qualifies as a Login?2. What counts as an Access?3. Are failed login attempts included in the report?Understanding the answers to these questions is essen
Best Practices for Reliable User Creation and Instant Enrollment in Adobe Learning Manager (ALM APIs)IntroductionMany enterprise customers integrate Adobe Learning Manager (ALM) with external HRMS, CRM, or provisioning systems using APIs.A common automation workflow is:1. Create a new user via API.2. Immediately enroll the newly created user into a course or learning path through APIWhile this workflow appears straightforward, some customers encounter an HTTP 400 error during enrollment with the message:“object doesn’t exist.”This blog explains why this occurs, the architectural reasoning behind it, and how to implement reliable retry and exception handling patterns to ensure production-grade integrations.---Customer Workflow Scenario:Step 1: Create UserPOST https://learningmanager.adobe.com/primeapi/v2/usersPayload Example:{ "data": { "type": "user", "attributes": { "email": "example@example.com", "name": "Bob", "userType": "INTERNAL" } }}Step 2: Enroll user
Understanding the Auto-Delete Users Feature in Adobe Learning Manager (ALM)IntroductionUser lifecycle management is a critical component of any enterprise learning platform. Adobe Learning Manager (ALM) provides administratorswith powerful governance controls, including the Auto-Delete Users feature available under:Admin Role → Settings → General → Auto Delete UsersThis auto-delete functionality of ALM soft deletes the users automatically, the system retains all the historical learning records of the users in this deletion process. This article explains how the auto-delete mechanism works, why users may be removed, and how administrators can manage this feature effectivelyto avoid confusion.---What Is the Auto-Delete Users Feature? The Auto-Delete Users feature is designed to automatically remove inactive users (No logins for a period) from the system after a defined period. This helps organizations:• Maintain a clean user database • Reduce inactive account buildup • Support data governan
User lifecycle management is an important part of administering Adobe Learning Manager (ALM). A common question administrators ask is:If a user is deleted, does their learning history disappear? The short answer is: No In this article let’s break down how deletion and restoration work in ALM. What Happens When a User Is Deleted? When a user is deleted — whether:Manually from the Admin UI, or Automatically via configured rules (such as inactivity-based auto-deletion),the user is soft deleted, not permanently erased. (Permenant deletions can be automated seperately)What Does “Soft Deleted” Mean?Soft deletion means:The user record remains in the system. The user status is marked as DELETED. The user cannot log in. The user is hidden from active user lists. User is removed from all user groups/active fields. Learning history, enrollments, and completions are retained. In other words, the learner’s data is preserved within the system unless a full purge operation is performed. Is Learning Data
Problem Statement:Administrators may notice that “Last Refresh” timestamp shown in Power BI not getting updated. Although they see the latest data being exported in the data set. This giving the impression that integration may not working as expected or expected data may not flowing. Brief Description:Adobe Learning Manager (ALM) writes data directly into the dataset using the Power BI REST API and does not trigger a Power BI refresh operation. Because no refresh operation occurs, Power BI does not update the Last Refresh timestampIf the dataset contains the new records but the Power BI “Last Refresh Date” does not change, then ALM has successfully exported the data. This is known behavior for dataset ingestion via Power BI REST APIs. and If more details needed on Power BI’s refresh timestamp, Power BI Support can assist. Why the “Last Refresh” Timestamp Does Not UpdatePower BI shows the Last Refresh Date only when:A manual refresh is performed in Power BI, or A scheduled refresh runs i
Problem Statement:ALM automatically sends failure notifications when webhook delivery fails. Admin who is not managing any Webhook connection alos received the notificationWhy did I receive a “Resolve Webhook Connection” message?Brief Description:ALM automatically sends failure notifications when webhook delivery fails. These are triggered when ALM cannot get a successful response (HTTP 200–299) from the webhook Target URL.Common reasons you received the message:You are an Admin user in the ALM account. Your email is included in the “Webhook failure admin emails” list. This does not mean you misconfigured anything yourself. What the Alert Actually MeansA typical email looks like:Your webhook target URL is not responding… If unresolved it will be disabled. This simply indicates:The customer’s webhook endpoint is failing or unreachable. Someone with Integration Admin access must validate the webhook configuration in ALM.Additional background:ALM sends the first failure notification after
