If you are not printing with the spot pantone inks, then it's not appropriate to spec using the spot swatches, the colors need to be specs in the format they will be printed in. You can fix the problem of the images opening in paint by changing your system's file association on jpgs to Photoshop, (I'm not on windows, so I don't know what the procedure is, but I know it can be done) As far as the mask outline disappearing, you don't need to make a new rectangle. If you have the whole suite, then you can do the edits in Photoshop, accessed from within Illustrator. Option-double-click on the image in Illustrator to launch it in Photoshop, do the edit and the image will update automatically in Illustrator when you come back to it. ... View more

Of the 10 teams and 4 freelancers connected to the project (so far), only two of them have access to this color. This issue seems a very easy one to deal with. Just have one of the designer who has the color to save out an ASE file, and distribute it to anyone working on the project. It can then be loaded to InDesign or Illustrator. Whoever specified this color must have the books; I can't imagine choosing a spot color without looking at a printed sample of it. Problem solved. ... View more
