Reduce email fraud through Linkless Notifications
Email phishing is one of the most prominent ways bad actors use to impersonate organizations to steal sensitive information. In 2023, the global average cost of a data breach increased to $4.45 million. International regulators are taking notice and enacting laws to prevent organizations from sending digital communications, including emails with links to end customers. Hong Kong, Malaysia & Philippines in Southeast Asia are already enforcing businesses to comply with these rules or face monetary consequences. These laws can impact Acrobat Sign customers, who often send emails with links to collect signatures from end customers. One such use-case is within Human Resources (HR). When hiring a new employee, organizations need to get documents signed for payroll, NDA, and access different services. In the current flow, once the HR admin sends the agreement for signature, this employee will receive an email like the one below: The “Review and Sign” button above is a link that redirects the user to the eSign page, allowing them to fill-in additional information and sign electronically. However, since the email includes a link that redirects the user to a different interface, this experience is not allowed in Hong Kong, Malaysia, or the Philippines. To solve this problem, Acrobat Sign has introduced a new solution called Linkless Notifications. This new experience, as shown below, guides the user to an access code page. From there, the user can enter their email and a provided access code to review and sign the agreement - all without any clickable links. Here are the details of the feature: This feature can be configured by account or group administrators to explicitly send emails (generated from Acrobat Sign) without any links in them. Once activated, whenever an agreement is sent for signature, the signer (or any other party in the agreement) will receive a notification email that includes an access code and instructions on how to use the code to access the agreement. The signer must navigate to a landing page, enter the access code. They will then be prompted with a list of actions they can take on the agreement. Clicking on any of the actions will take them to their respective step – as if they had clicked on the email link itself to begin with. This intuitive user flow allows customers to remove clickable links from Acrobat Sign with a single setting change. No need for any custom workarounds, and it’s simple & secure. On top of this, Linkless Notifications also supports those customers who have embedded Acrobat Sign into their systems and are predominantly relying on APIs to construct their own emails for end users. Therefore, as part of the March 2024 release, API support for Linkless Notifications - enabling usage within a customized signer experience.
